Patient Care Coordinator – TMS & Spravato HealthPath Medical & Psychiatric Care | Charleston, WV

Are you organized, dependable, and good with people? HealthPath Medical & Psychiatric Care is growing, and we're looking for a Patient Care Coordinator to be the friendly face of our practice and the person who keeps our advanced treatments transcranial magnetic stimulation (TMS) and Spravato (esketamine) running smoothly for the patients who depend on them.

This is a hybrid role: part welcoming front office, part behind-the-scenes insurance coordination. You'll greet and schedule patients, manage the daily rhythm of TMS treatment courses, and handle the prior authorizations that make these therapies accessible. Experienced medical assistants are encouraged to apply — if you've worked in a TMS practice or with neuromodulation patients, that hands-on experience is exactly what we're looking for, and this role can be structured to make use of your clinical skills.

What you'll do

Welcome and check in patients with warmth and professionalism
Answer phones, manage the schedule, and keep treatment courses on track — TMS patients are typically seen daily over several weeks, so consistency matters
Schedule Spravato sessions around the required two-hour post-dose monitoring window
Obtain and track prior authorizations for TMS and Spravato across commercial, Medicare, and Medicaid plans
Gather the clinical documentation that supports medical necessity and submit it through payer portals (e.g., Availity)
Verify benefits, communicate patient costs up front, and stay ahead of authorization renewals so care is never interrupted
Protect patient privacy and maintain accurate records

What we're looking for

A reliable, detail-oriented professional who communicates well and genuinely cares about patients
Prior experience in a medical office, front desk, or prior-authorization role
Comfort with EHR systems and insurance portals
Behavioral health, psychiatry, or specialty-clinic experience is a plus
Experienced medical assistants with TMS exposure are a great fit
Knowledge of West Virginia payers (Highmark BCBS, Medicare, WV Medicaid) is welcome but not required — we'll train the right person
