Position Overview:

We are seeking a dynamic and experienced professional for the position of Director of Rooms. The successful candidate will be responsible for overseeing and managing all aspects of the Front Office, including Front Desk, Concierge, Night Audit, PBX, Reservations, Bell Staff, and Guest Services operations. The Director of Rooms will play a pivotal role in ensuring the highest levels of guest satisfaction, maintaining operational excellence, and upholding the standards of luxury service.

Responsibilities:

1. Operational Management:

- Oversee all operational functions of the Front Desk, ensuring efficient billing, report
generation, registration, and check-out processes.

- Maintain a working knowledge of hotel procedures, including Food and Beverage Dining,
In-Room Dining, Guest Services, Housekeeping, and Revenue Management.

- Coordinate daily luxury details such as room assignments, welcome letters, amenity
delivery, and special requests.

2. Team Leadership and Development:

- Manage, train, and schedule a team of 20-25 staff members, including Front Desk,
Concierge, and Bell Staff.

- Provide constructive feedback, coaching, and counseling to ensure adherence to
company policies and procedures.

- Foster a positive and professional work environment, emphasizing continuous
improvement and guest satisfaction.

3. Communication and Collaboration:

- Communicate critical guest and operational information to hotel departments through
the company’s online information messaging system.

- Collaborate with Guest Services Agents, Housekeeping, and maintenance to uphold
company standards and culture.

- Establish and maintain professional relationships with guests, clients, and personnel from
other departments.

4. Guest Engagement and Satisfaction Management:

- Develop and implement proactive guest engagement strategies to enhance overall
satisfaction.

- Implement regular training sessions for staff on proactive guest service techniques and
personalized interactions.
- Engage in daily proactive guest relations management, addressing guest needs before
they become concerns.

- Demonstrate exceptional conflict resolution and de-escalation skills, diplomatically
handling demanding situations and guests.

- Monitor and analyze guest feedback, identifying trends and areas for improvement in
collaboration with department heads.

5. Complaint Resolution:

- Establish and implement a comprehensive system for handling guest complaints
effectively and efficiently.

- Train staff on complaint resolution procedures and empower them to resolve issues
within established parameters.

- Respond promptly to guest concerns through both voice and email communication,
ensuring swift resolution.

- Conduct regular follow-ups with guests to ensure satisfaction after complaint resolution.

6. Online Reputation Management:

- Monitor online review platforms, such as Trip Advisor, and respond promptly to guest
reviews.

- Develop and implement strategies to enhance positive online reviews and address
negative reviews professionally and constructively.

- Work closely with the marketing team to promote positive online guest experiences.

7. Managerial Requirements:

- Demonstrate clear and concise written and verbal communication skills.

- Lead by example with a participative and supportive management style.

- Enforce company policies and procedures, ensuring accountability and responsibility.

- Train and cultivate staff members for promotion, fostering a culture of teamwork and
excellence.

8. Business Skills:

- Exhibit strong technical skills and excellent time management.

- Possess a good understanding of computers and hotel Property Management Systems.

- Enforce safety, sanitation, and security requirements.

- Demonstrate creative problem-solving skills and the ability to evaluate alternatives
quickly.

9. Physical Requirements:

- Ability to stand for prolonged periods, lift 25-30 lbs, and work in variable weather
conditions.

- Display a sense of urgency and ability to juggle tasks to balance company needs.

- Drive guest vehicles physically and legally if necessary.

Qualifications:

- 5+ years of management experience in a hospitality role, preferably in a luxury
environment.

- Experience with hotel Property Management Systems, such as Opera or Springer Miller
Host.

- Excellent customer service orientation and strong organizational skills.

- Ability to work evenings, weekends, and holidays as needed.
