Front Desk Treatment Coordinator

Sculpt Dental Spa is seeking a driven, team-oriented professional to join our growing practice. Experience in dentistry or front desk operations is a must. We’re happy to train the right person who brings energy, initiative, and a genuine passion for helping others.

Front Desk Responsibilities
This is a dynamic, high-impact role that combines customer service, administrative precision, and patient advocacy. You’ll be the friendly face and calm presence that sets the tone for every patient experience.
Your key responsibilities include:
Patient Experience & Hospitality
Greet each patient with warmth, confidence, and professionalism, making them feel seen, valued, and at ease from the moment they walk in
Maintain a serene, organized, and polished front office environment that reflects the Sculpt brand and spa experience
Manage patient flow, and anticipate needs to ensure every guest feels genuinely cared for
Collect and document patient feedback to continually elevate our experience
Scheduling & Coordination
Maintain a full, efficient, and well-balanced schedule for both the doctor and hygiene teams
Strategically schedule high-value procedures and block time for priority treatments
Anticipate and adjust to same-day changes with professionalism and quick problem-solving
Proactively fill openings and prevent gaps through timely follow-ups, recall calls, and reactivation of unscheduled patients
Review daily goals each morning and collaborate with the clinical team to identify opportunities to meet or exceed them
Track pending treatment and following up to help patients commit to care
Partner with the team to align the schedule with production targets and patient readiness
Maintain a deep understanding of the practice’s monthly production goals and how your role directly impacts hitting those numbers
Communicate openly with leadership about trends, obstacles, or opportunities that affect productivity
Communication & Patient Relations
Handle incoming calls, texts, and emails with professionalism, empathy, and accuracy
Serve as a trusted guide, educating patients about services, treatment plans, and next steps with confidence and clarity
Follow up with new patient inquiries and unscheduled treatment opportunities to strengthen relationships and boost case acceptance
Maintain detailed, accurate patient notes to ensure continuity of care and communication
Financial Coordination & Documentation
Discuss treatment costs and payment options clearly and compassionately to help patients feel comfortable moving forward
Process payments, manage ledgers, and ensure financial transparency and accuracy
Assist with financing applications and coordinate with third-party financing partners
Review treatment estimates and ensure consistency between clinical notes and financial documentation
Systems & Operations Support
Support the team in maintaining accurate records, forms, and reports
Ensure patient intake, consent, and HIPAA documentation are complete and compliant
Collaborate on marketing initiatives, patient reviews, and referral programs
Identify opportunities to improve efficiency, communication, and patient flow

Monday: 9:00 AM – 4:00 PM
Tuesday: 9:00 AM – 5:30 PM
Wednesday: 7:00 AM – 3:30 PM
Thursday: 7:00 AM – 3:30 PM
Friday: 7:00 AM – 2:30 PM
