Full Job Description

Job Overview

We are looking for a highly organized and skilled Executive Assistant (USRN) to the CEO to join our healthcare team. This position involves providing essential administrative support, particularly in managing patient communications and ensuring smooth information flow within our practice. We are seeking candidates who are fluent in English , possess strong communication skills, and are available to work during US MDT hours .

Key Responsibilities

Patient Communication : Manage inbound and outbound patient calls, ensuring excellent customer service and a professional, compassionate interaction.
Administrative Support : Perform administrative tasks such as calendar and email management, data entry, document preparation, and coordination.
Research Assistance : Conduct research to support medical staff and improve patient care and operational efficiency.
Medical Record Maintenance : Maintain accurate, compliant medical records in accordance with healthcare regulations.
Scheduling & Follow-Up : Assist with scheduling appointments and coordinating follow-up care for patients.
Collaboration : Work closely with healthcare professionals to facilitate effective communication and timely task completion.
Documentation Management : Support the management and organization of essential medical documentation and records.

Qualifications

Registered Nurse (RN) : Must hold a valid USRN license as a Filipino-based nurse.
Administrative Experience : Experience in performing administrative duties such as calendar management, email handling, data entry, and document preparation.
English Proficiency : Exceptional communication skills in English, including the ability to:
Understand a wide range of demanding, longer texts and recognize implicit meanings.
Express yourself fluently and spontaneously without significant effort in finding expressions.
Use language flexibly and effectively for social, academic, and professional purposes.
Produce clear, well-structured, detailed text on complex subjects, demonstrating controlled use of organizational patterns, connectors, and cohesive devices.
Tech-Savvy : Proficient in Google Docs, Google Sheets, Microsoft Office, and able to quickly learn new software and tools.
Strong Organizational Skills : Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Self-Motivated : Able to work independently with minimal supervision while staying dependable and accountable.
Clear Communication : Excellent verbal and written communication, with a focus on timely responses to both patients and medical staff.

Technical Requirements

Internet : High-speed internet connection (minimum 25 Mbps for upload/download) to ensure stable video and voice communication.
Computer : Laptop or desktop with at least an Intel i3 processor, 8GB RAM, SSD or equivalent storage, and an updated operating system (Windows 10 or macOS 10.15 or higher).
Video Conferencing : Functional webcam and microphone for clear communication via platforms such as Zoom, Google Meet, or JustCall.
Headset : Noise-canceling headphones with a microphone for effective, clear communication.
Software Tools : Familiarity with tools like Slack, Asana, Hubstaff, Freshworks, Adobe, Docusign, etc.
Workspace : A quiet, secure, and private workspace suitable for confidential communications.
Backup Power : Uninterruptible Power Supply (UPS) or an alternate power source for potential outages.
Licenses : Active RN license, HIPAA certification, and government-issued ID for verification.
