Full Job Description

Estate Administration Manager

We are partnering with a respected and growing law firm providing comprehensive legal services across Wills, Trusts, Estate Administration, Special Needs Planning, and Elder Law. Our mission is to provide clear, reliable legal guidance that helps individuals and families protect their assets, plan for the future, and navigate complex legal matters with confidence.

With offices serving communities throughout North Carolina and South Carolina, we are committed to building lifelong client relationships through proactive communication, thoughtful guidance, and a client-centered approach.

We are seeking an experienced Estate Administration Manager to lead and oversee our Estate Administration Department across our Fort Mill and Charlotte offices.

This is a pivotal senior leadership role responsible for streamlining operations, enhancing productivity, mentoring and developing local and international team members, and ensuring exceptional client service. By taking ownership of the department's day-to-day management, the Estate Administration Manager will allow firm leadership to focus on continued business development and strategic growth.

As a leader, you will have a direct impact on client satisfaction, team performance, and the long-term success of the firm.

What You'll Do

Team Leadership: Manage, coach, and develop a team of local and international paralegals and legal assistants across multiple offices.
Process Improvement: Identify workflow issues, implement solutions, and ensure adherence to Standard Operating Procedures (SOPs).
Operational Oversight: Oversee the team's management of approximately 600 active estate administration files, ensuring consistency, quality, timeliness, and operational efficiency.
KPI Management: Monitor key department performance indicators, including revenue, billable hours, productivity, collections, and completion timelines, adjusting strategies as needed.
Mentoring & Training: Provide ongoing training, coaching, and support to team members while fostering a culture of growth, accountability, and continuous improvement.
Attorney Collaboration & Accountability: Partner with attorneys to ensure operational expectations—including timeliness, billable hours, collections, and process compliance—are met while respecting their independent legal judgment.
Relationship Management: Build and maintain strong relationships with external referral partners.
Department Support: Step in to assist with complex estate administration matters and provide coverage when needed, while maintaining no regular individual caseload.

What We're Looking For

Leadership Experience: At least three years of experience managing people and team performance in a legal environment.
Paralegal Mentorship & Development: Experience mentoring and developing paralegals or legal support professionals, providing hands-on guidance to strengthen skills, improve consistency, and enhance the quality and efficiency of work.
Estate Administration Knowledge: At least three years of specialized experience in North Carolina or South Carolina estate administration, or five years of relevant experience in another jurisdiction.
Operational Skills: A demonstrated ability to develop and improve legal processes, create and implement SOPs, and manage departmental KPIs.
Technology: Strong experience with Trello or a comparable workflow/project management platform is highly preferred. Familiarity with Clio, Lawmatics, and Microsoft Teams is a plus, along with the ability to quickly learn new legal technology.
Leadership Style: Warm, collaborative, proactive, and solution-oriented, with strong communication, coaching, and accountability skills.
Remote Leadership: Ability to effectively manage and support international or remote team members.
Stability & Commitment: Demonstrated interest in long-term career growth and development within a law firm.
