The Role
The Billing Supervisor is responsible for the day-to-day management of a team of Billing Specialists within the car repossession billing department. This role ensures that invoices are processed accurately, efficiently, and in compliance with applicable federal and state regulations. The Billing Supervisor serves as the primary point of contact for team-level questions, quality control, and first-level escalations.

What You'll Do

Monitor the invoice queue and assign workloads across the team to maintain balanced throughput
Track daily invoice volume, processing times, and error rates; flag bottlenecks in real time
Review and approve invoices flagged by specialists before they are transmitted to lenders/clients
Handle first-level escalations, including disputed fees, lender callbacks, missing documentation, and redemption inquiries
Ensure all invoices are transmitted within required SLA windows
Oversee offshore billing operations, related daily workflows, billing activity to ensure accuracy and timely processing
Provide daily support to Billing Specialists on billing opportunities report
Process and upload incoming checks into the billing system on a daily basis
Participate in client-facing meetings as a billing subject matter representative
Manage urgent client email escalations with timely and professional resolution
Drive queue reduction efforts by actively monitoring billing backlogs and directing team prioritization
Support Month-End Close (MEC) preparation by downloading queue reports and providing them to the Billing Manager for recap and review
Oversee batch invoice submission processes and batch oversight
Ensure the Daily Rejection Queue is populated and reviewed each day
Conduct daily audits of a random sample of completed invoices for accuracy, completeness, and regulatory compliance
Verify that invoices align with applicable state repossession laws including allowable fees, required notices, and redemption rights timelines
Identify recurring error patterns and implement targeted coaching to reduce error rates
Maintain documentation of quality audit findings and corrective actions taken
Conduct weekly 1:1 meetings with each Billing Specialist, review workload, address concerns, and provide coaching and provide timely, actionable feedback
Onboard and train new Billing Specialists on systems, procedures, and compliance requirements
Manage daily attendance, scheduling adherence, and time-off exceptions within the team
Recognize high performers and escalate performance concerns to the Billing Manager with supporting documentation
Foster a culture of accuracy, accountability, and continuous improvement
Review daily and weekly productivity reports with the Billing Manager covering invoice counts, error rates, and throughput
Document recurring operational issues and present recommended solutions
Maintain records required for compliance audits and lender reviews

Who We're Looking For

3+ years of experience in auto finance, repossession, healthcare, collections, or related field billing
2+ years of supervisory or team lead experience in a billing or collections environment
Working knowledge of state repossession statutes, preferred
Proficiency in Microsoft Office Suite
Strong attention to detail with demonstrated ability to maintain high accuracy in data heavy environments
Effective verbal and written communication skills
Associate degree or higher preferred; equivalent experience considered

Key Performance Indicators

Team invoice error rate < 2%

Daily invoice throughput vs. target >= 95%

SLA compliance (on-time transmission) >= 98%

QA audit completion rate 100% weekly

Specialist retention rate >= 90% annually
