Full Job Description

Operations Coordinator I – Medical Devices

We are a global medical device company with offices in the United States, United Kingdom, Italy, and Australia that is committed to driving excellence in Cardiac ORs and ICU since 2005.

We are currently recruiting within our operations department for an Operations Coordinator I. This is a full-time, temporary position for up to 6 months, with the possibility of transitioning to a regular full-time role. The hourly rate is between $21.00 - $24.00 per hour.

Position Summary

The Operations Coordinator I plays a critical role in supporting the daily functions of the Operations Department. Key responsibilities include delivering outstanding customer service, maintaining accurate internal databases with order information, processing return authorizations, preparing shipping documentation, monitoring inventory levels, placing vendor purchase orders, and consistently representing the company with the highest level of professionalism.

Duties and Responsibilities:

Provide excellent customer service support via phone and email.

Receive, verify and book customer purchase orders and collaborate with sales and finance teams to ensure appropriate invoices and agreements are in place prior to booking a purchase order.
Update internal databases with client profiles and order details.
Maintain customer training records per specific product needs.
Assist and coordinate logistics with tracking orders and ensure timely delivery for purchases, evaluations, and demonstrations.
Create shipping documents against customer orders.
Monitor inventory stock levels and identify purchasing needs.
Collaborate with team members to achieve operational goals and meet productivity targets.
Liaise with warehouse staff to ensure all products arrive in good condition and are appropriately accessible.
Follow all company policies, procedures, and regulatory compliance guidelines, such as FDA, OSHA, and others.
Maintain a clean, safe, and organized work environment by adhering to company safety protocols.
Always maintain a professional image through dress, behavior, oral and written communications.
Other job duties and tasks assigned as appropriate.

Knowledge and Skills:

Strong attention to detail, excellent organization and communication skills and experience in customer service.
Proficiency in MS Office, Outlook and Teams.
Proficiency in ERP software, knowledge of Priority ERP is a plus.
Ability to work with little supervision and track multiple processes.
Must be able to work independently with general instruction and broad work expectations.
Physical stamina and ability to occasionally lift and move heavy items up to 50lbs.
Qualifications:
Associates degree in Logistics, Business Administration or relevant field OR minimum one years’ experience in operations.
Prior experience in an operations or customer service role preferred.
