Business Development & Guest Experience Coordinator

Location: Charlottesville, VA, Hybrid

Schedule: Full-time or Part-time (flexible for the right candidate)

About Virginia Guesthouses

Guesthouses is a locally owned vacation rental management company celebrating 50 years of hospitality in Charlottesville. We manage a portfolio of unique homes, boutique hotels, and specialty lodging, providing exceptional experiences for both guests and property owners.

We're looking for someone who enjoys wearing multiple hats, thrives on variety, and is excited to help grow a business. No two days in this role will look the same. One morning you may be preparing homes for arriving guests, while the afternoon is spent planning a marketing campaign, touring a prospective property, or helping launch a new business initiative.

Position Overview

This is a hybrid role that blends hospitality, marketing, business development, and project management. Approximately half of the role consists of recurring responsibilities that directly impact the guest experience, while the other half focuses on special projects that help grow and improve the company.

The ideal candidate is proactive, detail-oriented, creative, and enjoys taking ownership of projects from start to finish.

Primary Responsibilities

Guest Experience & Property Readiness

Conduct pre-arrival inspections before guest check-in.
Walk each property to ensure it is guest-ready.
Turn on lights, adjust thermostats, and create a welcoming atmosphere.
Fluff pillows, arrange décor, and leave personalized welcome notes.
Stock properties with coffee supplies, extra batteries, etc.
Identify and document cleaning or maintenance issues, problem solving and performing light cleaning and maintenance tasks when necessary.
Coordinate with the team to resolve issues before guest arrival.
Help maintain Guesthouses' high hospitality standards across every property.

Marketing & Social Media

Oversee company’s website and Google Ads Manager.
Develop and execute the company's social media strategy.
Create engaging photo and video content across our properties.
Manage posting schedules across multiple platforms.
Coordinate influencer partnerships and hosted stays.
Assist with email marketing, promotional campaigns, and brand storytelling.
Help plan and execute celebratory milestones, events, and company initiatives.

Business Development

Support efforts to bring new properties into the Guesthouses portfolio.
Participate in owner meetings and property tours when appropriate.
Assist with sales presentations and proposal preparation.
Help research new markets and business opportunities.

Special Projects

Examples may include:

Planning and executing Guesthouses' 50th Anniversary celebration event.
Supporting future business acquisitions and integration efforts.
Assisting with onboarding and launching new managed properties.
Helping develop new service offerings.
Supporting the management and launch of wedding venues or hospitality initiatives.
Leading or assisting with strategic initiatives as the company grows.

On-Call Support

Participate in a rotating on-call schedule to assist with after-hours guest needs.
Help coordinate solutions when unexpected issues arise.

Qualifications

Highly organized with exceptional attention to detail and an eye for design.
Comfortable managing multiple projects simultaneously.
Self-starter with an entrepreneurial mindset who enjoys solving problems independently.
Experience in social media or marketing.
Excellent writing skills.
Professional and polished in client-facing situations.
Comfortable using technology and learning new software.
Valid driver's license and reliable transportation.
Willingness to be available after hours and on weekends for special events or guest emergencies.

Preferred Experience

Hospitality or vacation rental management.
Marketing or social media management.
Event planning.
Sales or business development.
Project management.
Photography or videography.
Experience with Canva, Google Ads Manager, or similar creative tools.
