Reporting Structure
The Assistant Manager reports to and is supervised by the Property Manager. This position does not have direct reports but works closely with the on-site maintenance team.
Objective
The objective of the Assistant Manager is to lease apartment homes to the highest level attainable while delivering an exceptional prospect and resident experience, consistent with the company's mission statement and the owner's goals and objectives.
Scope
The Assistant Manager is responsible for the leasing, marketing, and administrative functions that support the residential leasing operations of our third-party managed assets in the Charlottesville, VA community. The Assistant Manager serves as the first point of contact for prospective residents, guides prospects through the leasing process, and supports the Property Manager in achieving occupancy, leasing, and resident satisfaction goals. The Assistant Manager also assists with resident retention, community events, and day-to-day office administration, including providing administrative support for the office and retail assets in the portfolio.
Qualifications & Requirements
◆ High school diploma or equivalent required; college coursework preferred.
◆ Minimum 1 year of leasing, sales, retail, hospitality, or customer service experience preferred.
◆ Fair Housing certification required within 6 months of hire; must complete Fair Housing testing prior to interacting with prospects or residents.
◆ Proficient in computer software such as MS Office and property management/leasing software such as YARDI.
◆ Excellent verbal and written communication skills, with a friendly, customer-focused demeanor.
◆ Strong organizational skills and attention to detail, particularly with lease paperwork and resident files.
◆ Comfortable with basic sales and marketing techniques, including social media and online leasing platforms.
◆ Standard schedule is Monday through Friday, with the potential for occasional Saturday hours should occupancy drop and require a Saturday office opening.
◆ Comfortable providing basic administrative support for commercial office and retail tenants under the direction of the Property Manager.
◆ Successfully pass a drug test and background check.
◆ Bilingual (English/Spanish) is a plus.
Duties & Responsibilities
1. Leasing & Marketing
◆ Greet and warmly welcome all prospective residents, tour the community and available apartment homes, and effectively communicate the features and benefits of the community.
◆ Answer incoming phone calls, emails, and internet leads promptly and professionally, converting inquiries into scheduled visits and leases.
◆ Maintain thorough knowledge of current rental rates, availability, floor plans, lease terms, and promotions.
◆ Maintain a thorough understanding of the competition and local market area, and shop competitor communities as directed.
◆ Assist with the implementation of marketing campaigns to attract new residents, as approved by supervisor(s).
◆ Maintain accurate and up-to-date traffic logs, guest cards, and follow-up communications with prospective residents.
◆ Support social media and online marketing efforts (e.g., Facebook, Instagram) under the direction of the Property Manager.
◆ Assist in the preparation and distribution of marketing materials, flyers, and signage.
◆ Achieve individual and community leasing goals as set by the Property Manager.
2. Administrative & Lease Processing
◆ Process rental applications, verify applicant information, and coordinate approvals in accordance with company policies and applicable Fair Housing laws.
◆ Prepare accurate and complete lease agreements and related paperwork for signature.
◆ Maintain organized and up-to-date resident and prospect files, both physical and electronic, in the property management software (i.e., YARDI).
◆ Assist with the preparation of move-in and move-out paperwork and coordinate scheduling with the maintenance team.
◆ Support the Property Manager with monthly reporting related to leasing activity, traffic, and conversion ratios.
◆ Ensure all administrative processes are handled accurately and on a timely basis.
3. Commercial Office & Retail Administrative Support
◆ Assist the Property Manager with administrative tasks related to the portfolio's commercial office and retail tenants, such as filing lease documents, tracking certificates of insurance, and updating tenant contact information.
◆ Support routine correspondence with office and retail tenants (e.g., notices, invoices, maintenance requests) under the direction of the Property Manager.
◆ Assist with data entry and recordkeeping related to commercial/retail rent rolls, CAM billings, and vendor invoices in the property management software.
◆ Help maintain organized office and retail tenant files, including insurance certificates, lease amendments, and renewal notices.
◆ Assist in scheduling and coordinating vendor or contractor visits for the office and retail spaces as directed by the Property Manager.
4. Resident Relations
◆ Respond promptly and courteously to resident inquiries, concerns, and service requests, escalating to the Property Manager as needed.
◆ Assist in planning and hosting resident events and retention activities.
◆ Support lease renewal efforts and communicate renewal offers to residents in a timely manner.
◆ Maintain positive, professional relationships with residents to promote a strong sense of community.
5. Community Presentation
◆ Ensure the leasing office, model units, and market-ready apartments are clean, well-presented, and ready to show at all times.
◆ Walk models and market-ready units daily and communicate any service-related needs to the maintenance team.
◆ Assist in maintaining curb appeal and reporting any deferred maintenance or safety concerns observed on the property.
6. Safety & Compliance
◆ Learn and ensure compliance with all company, local, state, and federal safety rules, including Fair Housing laws.
◆ Ensure that unsafe conditions are reported to the Property Manager or maintenance team in a timely manner.
◆ Direct guests and prospects to follow a "safety first" principle while touring the community.
7. Additional Requirements
◆ Attendance is an imperative job function.
◆ Standard work schedule is Monday through Friday; Saturday hours may be required on a temporary basis if occupancy drops and the community needs to reopen the leasing office on Saturdays.
◆ Present self in a neat, clean, and professional manner at all times throughout the workday and/or whenever present at the community.
