POSITION TITLE: SUPPORT STAFF III

GENERAL STATEMENT OF RESPONSIBILITIES:

The Support Staff III is under the direct supervision of the Senior Director of Adult Developmental Services, but reports to the Office Manager for day to day leadership and oversight. The Support Staff III provides switchboard operation to the agency while providing front desk support. He/she is required to analyze facts and determine action using a wide range of procedures within the limits of standard practice. Duties require planning own work after definite objectives set by the supervisor, with unusual situations referred to the supervisor.

MAJOR DUTIES:
The essential functions of this job are starred below () under “Major duties.”
1. Answers & routes all incoming calls, taking call back information when needed. Manages multi-line phone to assure efficient phone coverage for the agency. Assures that emergency service calls are transferred to a live person and not voice mail.
2. Greets visitors and staff in a polite manner and helps them to locate their destination.
3. Provides walk-in information and connects appropriate consumers to Emergency Services.
4. Assists with scanning, filing, and other clerical duties for Adult Developmental Services.
5. Maintains a professional demeanor and attitude.
6. Reads all agency communications.
7. Performs other duties and special projects as assigned by the supervisor.

QUALIFICATIONS:The incumbent should be a self-starter who possesses the following knowledge, skills, and abilities.

KSAS:

Knowledge of: standard office practices & procedures; use of telephone, computer, copier & calculator; secretarial techniques; medical records; referrals; how other organizations relate to Region Ten; compliance methods; data analysis; filing; record keeping; research methods; standard business English.

Skills in: organization; record keeping; filing; computer & keyboard use; photocopying; using multi-line telephones; initiating & completing work in a timely manner; accomplishing compliance; analyzing data, written charts & billing processes; communicating with a diverse range of people, including families, children, providers, insurance company staff, and staff at community partner agencies.

Abilities to: work efficiently in busy, often disruptive environment; deliver good customer service; maintain productivity; organize work days to run smoothly; work well under pressure; promote good public relations; accept supervision & follow directions; display professional demeanor with consumers, staff, and the public; analyze & note deficiencies in documentation & records, as needed; for the use of management, use the automated data system to run reports.
