Job Summary:

We are seeking a highly motivated and experienced Financial Controller, HR, and Admin director to join our team. The successful candidate will be responsible for managing the financial affairs of the company, leading HR operations, and overseeing the admin functions of our office. The position requires a combination of financial expertise, HR skills, systems development (Mom's way process) and administrative experience.

Responsibilities:

Develop, implement, and continuously improve financial and operational systems to ensure accuracy, efficiency, and scalability across all departments.
Manage all financial transactions, including invoicing, accounts payable and receivable, bank reconciliations, payroll, sales and use tax, and budgeting.
Prepare and analyze financial statements, reports, and budgets for the management team and ownership, providing insights for strategic decision-making.
Develop and oversee job costing systems to ensure accurate tracking of project expenses, labor, overhead recovery, and profitability, and collaborate with team to ensure target level of profitability
Develop and implement financial policies and procedures to ensure the efficient and effective management of the company's finances.
Monitor cash flow and manage banking relationships.
Oversee HR systems and processes, including recruitment, onboarding, employee relations, performance management, and compliance with employment laws and regulations.
Manage employee relations and ensure a positive workplace culture.
Administer employee benefits programs and ensure compliance with all applicable regulations.
Ensure that the company's HR policies and practices align with the company's values and mission.
Coordinate with outside consultants, auditors, and legal counsel as needed.
Participate in leadership team meetings; prepare agendas and record minutes.
Serve as a backup for the Office Manager as needed, maintaining seamless office operations.
Create, document, and maintain procedural and policy manuals (“The Mom’s Way”)
Management of company CRM and other IT needs.
Answer phones and assist with scheduling or client communication when the Office Manager is unavailable.

Requirements:

5+ years of experience in financial management, HR, and/or office administration.
Strong knowledge of accounting principles and financial management practices.
Demonstrated experience in HR operations, including recruitment, onboarding, and performance management.
Excellent organizational and time management skills, with the ability to manage multiple priorities and deadlines.
Exceptional attention to detail and accuracy.
Strong communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization.
Proficiency with Microsoft Office Suite and QuickBooks is required. General Software systems proficiency critical with overall management of workflow currently include Builder trend, Slack, and SharePoint.
