Full Job Description

The Office of Statewide Pretrial Services’ (OSPS or Office) is a statewide office that provides pretrial services under the Pretrial Services Act, 725 ILCS 185. The Office’s mission is to assist in the administration of justice and promote community safety by ensuring fairness and equality in the pretrial process. OSPS prepares pretrial investigation reports for the courts and supervises individuals released from custody as directed by the court.

The Accounting Analyst is responsible for processing vouchers and completing reconciliations for the Office of Statewide Pretrial Services (OSPS). This individual works with a moderate level of independence, cooperates with multiple internal and external stakeholders. This position is part of the Fiscal Division and performs under the general supervision of the Accounting Manager.

Current Available Shift:

Monday to Friday, 8:00 AM to 4:30 PM

FUNCTIONS INCLUDE:

· Enters OSPS expenditure transactions in accordance with the rules and guidelines set forth by the Illinois Office of the Comptroller (IOC).

· Ensures timely processing of vendor invoices and employee travel vouchers upon receipt of all necessary documentation.

· Reviews purchasing and expenditure data for contract and obligation criteria and completes necessary transactions or informs the accounting manager of any missing documents.

· Completes monthly audits and reconciliations between OSPS expenditure and obligation records against postings at the IOC. Submits all necessary forms to the IOC for any adjustments or corrections and maintains copies and documentation as auditable records.

· Prepares monthly, quarterly and yearly management tracking reports.

· Completes expenditure relevant reports to assist with the completion of the annual budget.

· Performs other duties as assigned.

EDUCATION AND EXPERIENCE:

Minimum Qualifications:

1. A Bachelor’s Degree in Accounting, Business Administration, or a related field, or, equivalent experience.

2. One or more years of professional work experience in a public or private organization.

3. Proficient in the use of Microsoft Office products (i.e., Excel, Word, Outlook).

4. Effective oral and written communication skills.

Preferred Qualifications:

1. Government work experience processing contracts, vouchers or obligations.

2. Experience as a lead worker or trainer.

3. Ability to positively and professionally interact with co-workers.

OTHER KNOWLEDGE/SKILLS/ABILITIES:

· Effective oral and written communication, presentation, facilitation, and interpersonal skills.

· Ability to plan, organize, implement, and maintain a variety of functions and projects simultaneously and meet required deadlines and schedules.

· Ability to positively and professionally interact with co-workers.

· Demonstrated leadership skills including planning and priority setting, sound decision-making, problem-solving, and analytic and interpretive skills.

PHYSICAL REQUIREMENTS:

· Ability to sit for extended time periods.

· Ability to use of a telephone and process written documents.

· Ability to lift and move items, such as paper reams and full banker boxes for filing.
