About the role

We're looking for a sharp, highly organized Executive Assistant to work directly and in person with our CEO. This is a true right-hand role — you'll manage his calendar, travel, meetings, communications, and select personal logistics, and you'll be the person who keeps a fast-moving, multi-venture operation from dropping anything.

The single most important part of this role is different from a traditional EA job: our CEO relies on a suite of custom AI tools that capture his meetings, learn his voice, track action items, and organize the company's knowledge. Your job is to keep that system fed, accurate, and useful — and to stay fluent in it as it evolves, which it does constantly. If you are energized rather than intimidated by new technology that changes week to week, you'll thrive here. If you need tools to sit still, this isn't the role.

This position is in-person by design. The CEO previously worked with a remote assistant, and the distance created gaps we're specifically hiring to close: real-time responsiveness, being in the room, and the kind of tight coordination that only happens face to face.

What you'll own

The AI component - most critical

Ensure every meeting is captured — recordings, transcripts, and notes flow into the right systems after each one, without being asked.
Turn meetings into action — extract action items and owners from transcripts, track them to completion, and surface what's outstanding before it slips.
Keep the knowledge base fed — upload and correctly file documents, press, decks, and communications so the tools stay accurate and current; maintain clear, consistent naming and tagging.
Manage sensitive material appropriately — know what is confidential, what can be shared internally, and what must stay restricted.
Stay fluent as the tools change — learn new features quickly, adapt your workflow when they shift, and flag what's working and what isn't. You'll be the CEO's practical bridge to the technology.
Prepare the CEO for what's ahead — use the tools to assemble briefings, daily priorities, and meeting prep so he walks into everything informed.

Executive support

Own the calendar — schedule and protect his time, resolve conflicts, and stay several steps ahead across a packed, shifting agenda.
Coordinate travel end to end — flights, hotels, ground transport, itineraries, and the inevitable last-minute changes.
Manage communications — triage email, draft and send correspondence, and make sure nothing important goes unanswered.
Handle select personal logistics — appointments (including medical), reservations, and personal scheduling that keeps his life running.
Act as a point of contact — interface with a wide internal team, external partners, and stakeholders on his behalf, with discretion and professionalism.
Keep him organized — be the person who remembers the detail he doesn't have time to, and closes loops without being chased.

What we're looking for

3+ years supporting a senior executive, founder, or principal in a demanding, fast-changing environment.
Genuine comfort and enthusiasm for technology — you pick up new software fast and aren't rattled when it changes. This is non-negotiable and the trait we weight most heavily.
Exceptional organization and follow-through — you own outcomes, not just tasks, and things don't linger with you.
Strong, precise writing — you can draft in someone else's voice and handle sensitive communication with judgment.
High discretion — you'll handle confidential business and personal information daily.
A detail-oriented, structured background — experience such as paralegal, legal assistant, or a similarly documentation-heavy, high-accountability role is a strong plus.
Calm and adaptable under a shifting set of priorities — you can hold the thread when the plan changes mid-week.
Available for an in-person, full-time schedule with the flexibility a CEO's calendar sometimes demands.
