Full Job Description

Job Title: Accounts Payable and Accounts Receivable Specialist

Reports to: Accounting Administrator

Job Summary: The AP/AR Specialist is an entry-level role responsible for supporting the accounting team with accounts payable and accounts receivable functions across multiple properties and development projects. This position plays a key role in ensuring timely processing of invoices, accurate recording of payments, and organized financial records.

This is a great opportunity for someone starting their career in accounting who is eager to gain hands-on experience and grow within a real estate environment.

Key Responsibilities:

Accounts Payable (AP)

Enter and process vendor invoices and construction pay applications
Code expenses to appropriate accounts, properties, and projects
Route invoices for approval and assist with payment processing
Maintain vendor records and W-9 documentation
Collect and distributes mail as needed
Assists with 1099 preparations

Accounts Receivable (AR)

Record rent payments, CAM recoveries, and other incoming funds
Monitor outstanding balances and assist with collections tracking
Help reconcile tenant accounts and ledgers
Assists in calculating and charging management fees for appropriate entities
Makes bank deposits and check runs as needed

Reconciliations & Support

Assist with bank and credit card reconciliations
Support tracking of loan payments and escrow accounts
Help maintain accurate and organized financial records

Transaction Process

Enter routine transactions and journal entries with guidance
Maintain electronic filing systems for financial documents
Assist with preparing reports for month-end close

Development & Project Support

Help enter and track construction-related invoices
Maintain organized documentation for projects and lender requests

Internal Controls

Follow established approval workflows.
Ensure timely and accurate entry of financial data.
Maintain organized and complete financial records.

Qualifications & Skills:

Associate’s degree in Accounting or related field preferred.
Internship, part-time experience, or coursework in accounting is a plus, but not required.
Interest or experience in real estate or property management is a plus
Strong data entry accuracy and organizational skills.
Familiarity with AP/AR processes.
Familiarity in Microsoft Excel, familiarity in Quickbooks is a plus but not required.
Ability to handle multiple projects simultaneously.
High attention to detail and reliability.

Compensation:

Starting Salary: $45,000
