Full Job Description

The Opportunity

SiPhox Health is building a first-of-its-kind consumer diagnostics platform that brings complex biochemical analysis into the home through integrated silicon photonics, microfluidics, embedded systems, and advanced assay development.

As we grow, we need someone to own the physical office — the person who makes sure the space is stocked, organized, welcoming, and functional, and who keeps events, vendors, and day-to-day logistics running without anyone having to think twice about them. This is a hands-on, high-visibility role: you'll interact with every employee, most visitors, and a wide range of outside vendors and contractors on a daily basis.

You'll take ownership of front-of-house and facilities operations, working closely with our facilities lead on non-lab office needs, and reporting to our Chief of Staff.

What You'll Own

Front of House & Facilities

Serve as the first point of contact for the office — greet visitors, answer the door, and keep the front-of-house experience professional and welcoming.
Manage day-to-day facilities needs: desk setup and moves, wifi/connectivity issues, and coordinating with building management.
Coordinate contractors, cleaning crews, and maintenance vendors, serving as the primary point of contact for facilities-related service providers.
Partner with the facilities lead on non-lab office facilities projects and priorities.
Run errands and handle time-sensitive drop-offs and pickups as needed.

Events, Hospitality & Travel

Order and coordinate catering for meetings, team events, and company-wide gatherings.
Plan and execute office events, from small team celebrations to larger company-wide events.
Coordinate travel accommodations and logistics for visiting employees, candidates, and guests.
Stock and maintain kitchen and snack supplies, tracking usage and reordering proactively.

Organization & Supplies

Manage general office and printing supply inventory, and maintain control over stock levels and reordering.
Manage company swag: ordering, inventory, and distribution for new hires and events.
Support organizational projects — filing, scanning, and digital and physical document organization.
Identify opportunities to improve office operations and vendor relationships over time.

And any other assigned duties as determined by leadership.

What We're Looking For

Required Qualifications

Experience in an office management, facilities, hospitality, or administrative/operations role.
Strong organizational skills and comfort juggling multiple in-flight tasks, vendors, and priorities.
A proactive, reliable, detail-oriented self-starter who takes ownership of the physical office without needing to be asked twice.
Good judgment and discretion — comfortable interacting with employees, guests, and outside vendors on a daily basis.
A valid driver's license and reliable transportation for local errands and vendor drop-offs.
Authorization to work in the U.S. without sponsorship.

Preferred Qualifications

Prior experience supporting a fast-growing startup or lab/office hybrid environment.
Experience coordinating events, catering, or travel logistics.
Familiarity with facilities vendor management (cleaning, maintenance, building management).

KPIs (Success Measures)

Office readiness — supplies, snacks, and common areas consistently stocked and organized with no gaps.
Vendor and facilities responsiveness — timely resolution of desk, wifi, and facilities issues; smooth contractor and cleaning coordination.
Event execution — on-time, well-run company events, meetings, and catering with positive employee feedback.
Organization and inventory accuracy — filing, scanning, and swag/supply inventory kept current and audit-ready.

Physical Requirements

Ability to lift and move office supplies and deliveries (up to ~25-40 lbs).
This role involves regular movement around the office and occasional local travel for errands and vendor pickups/drop-offs.
This role does not involve lab operations, lab safety protocols, or handling of chemicals.
