Full Job Description

Job Title: Administrative Assistant

Reports to: General Manager

Job Summary: : The Administrative Assistant is responsible for processing customer orders and providing administrative support for their assigned location. The successful candidate will have the key skills to problem solve and multi-task while providing excellent customer service

Essential Functions:

Answer phone calls and direct calls to the appropriate parties
Take customer orders and input into the system
Assist outside sales with orders and appointments
Perform general office duties such as ordering supplies and filing
Maintain petty cash account
Receive and post customer payments into the system
Deposit customer checks via remote deposit scanner
File and maintain customer tax exemption certificates
Invoice orders once delivery has been made to the customer
Send invoices to customers on terms
Receive purchase orders into SAP after verification of packing slips
Ensure all packing slips gets sent to Accounts Payable for payment
Communicating issues to production when there are log errors and finding answers to these issues
Contact customers for payment of invoices
Run errands as needed

Knowledge, Skills & Abilities:

Moderate background knowledge of roofing materials/ procedures
Knowledge of accounting/ERP systems
Basic knowledge of excel functions/formulas
Must present and communicate in a professional manner.
Excellent verbal and written communication skills.
Must be organized with good time management skills.
Possess proven analytical/problem solving solutions for the customer and the company.
Computer proficiency in Windows and Microsoft applications.

Education:

· High School Diploma or equivalent required.
