Secretary / Bookkeeper (Primarily Bookkeeping – Rent Collection Focus)

Position Overview
We are seeking a reliable, detail-oriented Bookkeeper (with light secretarial duties) to join our property management team. The core of this role is rent collection tracking: verifying that all rents have been received, accurately updating QuickBooks Online, and promptly following up on any missing or late payments.
Hours are flexible and designed to accommodate candidates who may hold another job. The main on-site requirement is Saturday mornings (typically 8:00 a.m. – 12:00 p.m.) at our North Haven office. This part-time position offers clear potential to grow into more hours and eventually a full-time role.
Key Responsibilities
- Monitor and verify that all rents have been received each month.
- Update rent payments promptly and accurately in QuickBooks Online.
- Follow up with tenants or property managers on any rents that have not come in.
- Perform related bookkeeping tasks such as reconciliations, coding expenses, and basic financial reporting.
- Maintain organized records of tenant payments and communication.
- Provide light administrative support (phones, filing, document scanning) as needed.
- Assist with month-end processes tied to rent collections and owner reporting.
Required Qualifications
- Strong, hands-on experience with QuickBooks Online (required).
- Prior experience tracking rent collections, posting payments, and following up on delinquencies — ideally gained at another property management company in New Haven or Fairfield County.
- Excellent attention to detail, organizational skills, and comfort with follow-up communication.
- Ability to work independently and manage time effectively within a flexible schedule.
- Willingness to be physically present in the North Haven office on Saturday mornings (8 a.m.–12 p.m.).
- Reliable transportation and professional communication skills.
Preferred Qualifications
- Direct experience in property management bookkeeping or rent roll management in the New Haven or Fairfield County area.
- Familiarity with common property management practices and tenant communication.
Schedule & Flexibility
Flexible part-time hours built around the required Saturday morning on-site shifts. Maintaining another job is completely acceptable and expected for many candidates. Competitive hourly rate based on experience, with opportunity for increased hours and full-time growth over time.
Pay: $22.00 - $25.00 per hour
