Full Job Description

Join Our Team

Hazel Pittman Center is seeking a friendly, organized, and detail-oriented Administrative Specialist to serve as the first point of contact for our patients and community. This position plays a vital role in supporting our treatment, prevention, and administrative teams while helping ensure individuals seeking services receive a welcoming and professional experience.

What You'll Do

As our Administrative Specialist, you will:

Welcome patients and visitors while providing exceptional customer service.
Answer and route incoming phone calls.
Schedule appointments and coordinate staff calendars.
Complete patient intake and registration according to agency policies.
Maintain accurate electronic health records (CareLogic).
Enter data and generate reports as requested.
Collect and process patient payments.
Conduct patient follow-up surveys.
Prepare correspondence and administrative documents.
Confirm patient appointments.
Assist with regulatory and grant reporting.
Assist with drug testing procedures, documentation, and laboratory coordination.
Process ADSAP documentation and submissions.
Collect and distribute agency mail.
Maintain strict patient confidentiality in accordance with HIPAA and 42 CFR Part 2.
Support other administrative duties as assigned.

What We're Looking ForMinimum Qualifications

Associate's degree in Business, Secretarial Science, or a related field and two years of administrative experience

An equivalent combination of education, training, and experience that demonstrates the knowledge and skills necessary to perform the position.

Preferred Qualifications

Candidates with experience in a healthcare, behavioral health, or medical office setting are encouraged to apply.

Experience with electronic health records (especially CareLogic) is a plus.

Skills & Qualifications

The ideal candidate will have:

Excellent customer service and communication skills
Strong organizational and multitasking abilities
Accurate data entry and attention to detail
Experience with Microsoft Office (Word, Excel, Outlook)
Ability to maintain confidentiality
Ability to work independently and as part of a team
Ability to prioritize tasks in a busy office environment

Requirements

Valid driver's license (or ability to obtain one)
Ability to lift up to 25 pounds occasionally
Ability to complete First Aid/CPR training
