Full Job Description

The Administrative Assistant is responsible for providing administrative and operational support to the General Field Manager (GFM), Operations Manager, and field teams while serving as the primary customer service representative for LTD Heating & Air. This position plays a vital role in ensuring customer concerns are addressed promptly, HVAC warranties are processed accurately, equipment is ordered correctly, and operational workflows remain organized and efficient.

This hybrid position requires the employee to work remotely while reporting to the Richmond, Virginia office one to two times each week to meet with their supervisor, collaborate with the operations team, and assist with departmental needs. The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment.

KEY RESPONSIBILITIES

Serve as LTD Heating & Air's primary customer service representative by professionally managing customer communications via phone, email, and other communication channels.
Act as the liaison between customers, the General Field Manager (GFM), and the Operations Manager to ensure customer concerns and service issues are resolved promptly and professionally.
Process and submit HVAC warranty registrations and warranty claims for Virginia installations while ensuring all documentation is complete and accurate.
Order HVAC equipment and materials through approved distributor websites based on instructions provided by management.
Verify order accuracy and communicate any discrepancies or delays to the appropriate personnel.
Assist the Operations Manager with tracking job completion, invoicing, billing status, and project progression.
Monitor customer concerns, warranty issues, repair requests, and outstanding parts orders to ensure timely resolution.
Maintain accurate records of customer communications, warranty submissions, equipment orders, and operational documentation.
Coordinate with field technicians, warehouse personnel, vendors, and management to support efficient daily operations.
Perform general administrative duties including document management, data entry, filing, reporting, and scheduling assistance.
Support additional administrative and operational projects as assigned by management.

QUALIFICATIONS & SKILLS

Previous administrative, customer service, dispatch, or office support experience preferred.
Excellent verbal and written communication skills.
Strong customer service skills with the ability to remain professional in challenging situations.
Exceptional organizational and time-management abilities.
Strong attention to detail with the ability to accurately manage multiple tasks simultaneously.
Experience with Microsoft Office (Word, Excel, Outlook) and web-based software systems.
Ability to quickly learn distributor ordering platforms, warranty systems, and internal company software.
Ability to work independently while maintaining consistent communication with supervisors and team members.
Reliable transportation and the ability to report to the Richmond, Virginia office one to two days per week.

WORK ENVIRONMENT

Hybrid position with remote work and required in-office attendance in Richmond, Virginia one to two days each week.
Frequent communication with customers, technicians, vendors, distributors, and management.
Requires prolonged computer use, phone communication, and administrative support activities.
Fast-paced environment requiring strong organizational skills and the ability to manage multiple priorities.

Strong communication, professionalism, and attention to detail contribute to efficient operations and an exceptional customer experience.
