Zoom Drain of Richmond | Part-Time | Hybrid | Growth Opportunity

Join a Small Team That's Growing

Zoom Drain of Richmond is looking for an organized, dependable, and customer-focused Administrative & Customer Service Coordinator to join our growing team.

This is a part-time position to start, with the opportunity to grow into a full-time role as our business continues to expand. We're looking for someone who enjoys wearing multiple hats, takes pride in keeping things organized, communicates well with customers and coworkers, and wants to become an important part of a small business rather than simply filling an administrative position.

The position offers a hybrid work schedule, with the ability to work from home along with some scheduled hours in our Richmond office each week. The workweek will consist of set days, generally beginning in the morning, with some flexibility in how hours are structured throughout the week.

Zoom Drain specializes in residential and commercial drain and sewer services, including drain cleaning, sewer cleaning, hydro jetting, video camera inspections, drain and sewer repairs, and preventative maintenance.

What You'll Do

This position will play an important role in keeping our daily operations organized and providing an excellent experience for our customers.

Responsibilities include:

Answer incoming customer calls professionally and help identify their service needs.
Schedule and coordinate customer service appointments.
Communicate appointment information and updates with customers and technicians.
Review completed customer invoices for accuracy and completeness.
Submit and process invoices and related documentation.
Perform administrative tasks within ServiceTitan, including maintaining accurate customer and job information.
Maintain organized customer records and documentation.
Assist with follow-up communication with customers.
Serve as the first point of contact for customer concerns or complaints and help work toward a timely, professional resolution.
Escalate customer or operational issues to management when appropriate.
Monitor office supplies and equipment inventory and coordinate timely restocking and maintenance.
Assist with general office organization and administrative projects.
Support the owner and field team with day-to-day operational needs.
Help identify opportunities to improve our administrative processes and customer experience.

As our company grows, this position may evolve and take on additional responsibilities based on the individual's interests, strengths, and abilities.

What We're Looking For

We're looking for someone who is:

Highly organized and detail-oriented
Dependable and able to follow through on tasks without constant supervision
Comfortable managing multiple priorities
Friendly, professional, and confident communicating with customers by phone, text, and email
Able to remain calm and professional when working with an unhappy or frustrated customer
Comfortable learning new technology and software
Able to work independently from home while remaining connected and responsive to the team
Willing to jump in and help wherever needed in a small-business environment
Interested in growing professionally as the company grows

Strong written communication, proofreading, and attention to detail are especially important because this position will review invoices and customer-facing documentation.

Experience

Previous administrative, customer service, scheduling, dispatching, or office experience is preferred.

Experience with ServiceTitan or another field-service/customer scheduling platform is a plus, but is not required. We're willing to train the right person who is comfortable with technology and eager to learn.

Experience in plumbing, HVAC, electrical, home services, or another service-based business is helpful but not required.

Schedule

Part-time to start
Hybrid: work from home plus scheduled in-office hours each week

Morning availability required on scheduled days
Some flexibility in how weekly hours are structured
Potential to transition into a full-time position as the business grows
