Front Office Receptionist

Job Type: Full-Time
Department: Property Management / Front Office
Reports To: Property Manager

Position Summary

We are seeking a friendly, organized, and professional Front Office Receptionist to serve as the first point of contact for residents, applicants, visitors, vendors, and the community. The ideal candidate will provide excellent customer service while supporting the property management team with daily administrative and clerical functions. Experience in affordable housing or property management is a plus.

Essential Responsibilities

Greet residents, visitors, vendors, and applicants in a friendly, professional, and welcoming manner.
Answer and direct incoming phone calls promptly and courteously.
Maintain a clean, organized, and welcoming reception area.
Receive, sort, and distribute incoming mail and packages.
Prepare and process outgoing mail.
Schedule appointments and maintain office calendars.
Provide general information regarding available units, application procedures, and company policies.
Receive and log maintenance requests and follow up on work order status as needed.
Monitor office supplies and place orders as needed.
Maintain accurate and organized resident and applicant files in accordance with HUD, Rural Development (RD), LIHTC, and other applicable program requirements.
File, scan, copy, and organize documents in both electronic and paper formats.
Maintain strict confidentiality of resident, applicant, and company information.
Assist with resident events, community activities, and distribution of community notices.
Assist with maintaining waiting lists and applicant files.
Assist with preparing correspondence, notices, late letters, and other resident communications.
Provide administrative and clerical support to Property Managers and other staff.
Perform other duties and responsibilities as assigned.

Qualifications

High school diploma or equivalent required.
Previous receptionist, administrative, customer service, property management, or office experience preferred.
Strong communication and interpersonal skills.
Professional, friendly, and customer-service-oriented demeanor.
Strong organizational skills and attention to detail.
Ability to handle confidential information with discretion.
Proficiency with Microsoft Office and general office equipment.
Ability to manage multiple tasks and priorities in a busy office environment.
Experience with HUD, RD, LIHTC, or other affordable housing programs is a plus.
Property management software experience is a plus.
Ability to work effectively as part of a team.
