Job Posting - WEA Program Specialist

The Wyoming Education Association is seeking qualified applicants for the Program Specialist position. The successful applicant will work under the direction of the Executive Director and closely with the WEA President, field staff, and local association leaders. The position is based in Cheyenne and may include some travel.

The Wyoming Education Association is the professional association for employees of Wyoming public schools, including K-12, Community Colleges, and Higher Education. A member-driven organization with nearly 5,000 members, the WEA is committed to high-quality public education for all. The WEA operates out of a headquarters office located in Cheyenne, Wyoming, with field offices throughout the state. The WEA operates under a governance structure including a Board of Directors and Delegate Assembly. Staff includes field organizers, communications, government relations, and support staff. The WEA is an affiliate of the National Education Association and has 60 local affiliates in every school district and community college in Wyoming.

Benefits and Compensation
This position offers a competitive salary and benefit package including paid health insurance, retirement, paid leave, and other benefits with a minimum salary of $43,589.00 as per the negotiated agreement with the WEA Staff Organization.

Position Title: Program Specialist

Summary: The Program Specialist of the Wyoming Education Association uses a variety of skills to support other staff in the association. In this capacity, the employee greets and directs visitors; answers telephone calls; records messages; gives information to callers; reads, types and/or operates office automation equipment, provides clerical support and administrative and business assistance for those who request it.

Specific Duties and Responsibilities:

a) Answers and redirects incoming phone calls, takes messages, answers questions and responds to inquiries or forwards callers to the appropriate party. Greets and directs visitors to appropriate areas.

b) Read, route, and/or respond to incoming and outgoing paper mail and phone calls.

c) Operates word processing equipment, personal computer, or other office equipment in accordance with operating instructions and procedures.

d) Drafts, edits and proofs correspondence and other documents using correct English grammar, punctuation, spelling, and format in all areas of work.

e) Prepares and distributes photocopies of various materials and documents as required.

f) Must have the ability to manage multiple print projects under the pressure of deadlines.

g) Maintain common work areas, including the lobby, conference rooms, staff workroom and kitchen.

h) Process all incoming and outgoing mail, ensure postage machine has sufficient postage. Deliver mail to the post office as needed.

i) Inventory, organize, and purchase office supplies

j) Record and maintain check registry.

k) Maintain, organize, and update Shared Drive as necessary.

l) Collect nominations for, create, and mail out Exceptional Service Awards.

m) Collect annual district salary schedules and compile into excel.

n) Assist Membership Office as needed.

o) Assist Communications Office as needed, such as formatting and ordering business cards, and responding to inquiries via WEA website.

p) Coordinate and schedule routine and seasonal building and grounds maintenance.

q) Perform other appropriate duties as assigned.

2) Specific Duties and Responsibilities as they relate to the Political Action Committee for Education (WEA PACE)

a) During election years, assist the Government Relations Director and other staff in conducting the WEA PACE endorsement process.

3) Specific Duties and responsibilities as they relate to Delegate Assembly

a) Create and print door/meeting room signs, Gold Key Certificate, and WEA Award for Teaching Excellence Certificate.

b) Prepare and print materials for Silent and Live Auctions.

c) Assemble any “swag bags” for registration table.

d) Print and prepare copies of DA Handbook.

e) Print and prepare Name Badges, Credential Cards, and assign appropriate ribbons.

4) Work Environment

a) Primary work location: WEA headquarters office (Cheyenne, WY).

b) Limited travel may be required for statewide meetings or events.

c) Standard office hours with occasional extended hours.

5) Qualifications:

a) Excellent verbal communication skills to make a professional and favorable impression on visitors and callers.

b) Strong interpersonal skills, both written and verbal to make people feel welcome and well served by the organization.

c) Works effectively in a cooperative team environment.

d) Strong attention to detail and proficiency.

e) Capacity to maintain professionalism and a respectful demeanor.

f) Ability to take initiative to assist others and exhibit ability to gain support from others when needed.

g) Support and advance WEA missions, goals, and priorities.

h) Minimum Required: High School Diploma or GED
