GENERAL DESCRIPTION:
The Department of Family Services (DFS) is seeking a Business Office Coordinator II to join a team that is passionate about serving Wyoming children and families. This position will ensure that the day to day operations and systems of the DFS State office, located in Cheyenne, are managed to operate with maximum effectiveness and efficiency to best support the employees and clients served and protect Department assets and client data.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.
IT Project Management & Governance
Lead, coordinate, and develop project scopes, schedules, and pilot testing plans for IT initiatives within the agency.
In coordination with agency staff, make recommendations to the enterprise-level IT and Data Governance team for review and implementation of IT/data decisions and policies.
IT Liaison & Budget Management
Serve as the primary liaison between agency staff and Enterprise Technology Services (ETS) to obtain quotes, recommendations, and approvals for IT purchases.
Tracks, monitors and reconciles the agency’s IT consolidated budget and agency ETS/IT budget (400 series) dollars to ensure accurate and necessary spending of IT dollars.
Analyze and provide equipment data to the budget office and ETS to support Technology Replacement Program (TRP) requests.
Asset, Inventory & Lease Operations
Develop and manage systems to track, deploy, and surplus all agency fixed assets, IT hardware, and software licenses.
Establish a centralized system to track agency leases and associated contracts; collaborate with Wyoming Administration and Information (A&I) to manage lease bids and renewals.
Develop and recommend policies and processes for the agency's management of motor vehicles through the Wyoming motor vehicle management system (MVMS).
Operations & Team Support
Provide general administrative support for the agency’s central/State office located in Cheyenne, including archiving, conference room maintenance, purchasing, and surplus coordination.
Partner with cross-functional staff to continuously improve the employee onboarding and offboarding experience.
Manage the internal IT purchasing tool, maintain a system access permissions log, and regularly update email distribution lists.
Author agency-wide Standard Operating Procedures (SOPs) for core functions, including IT purchasing, correspondence training, archives, and policy reviews.
KNOWLEDGE:

Have an understanding and ability to work within state/ETS purchasing and procurement standards.

Strong proficiency in various Google and Microsoft products for organizational and tracking purposes

MINIMUM QUALIFICATIONS:
Education:
Bachelor's Degree (typically in Business)
Experience:
0-3 years of progressive work experience (typically in Business) with acquired knowledge at the level of a Business Office Coordinator I
OR
Education & Experience Substitution:
4-6 years of progressive work experience (typically in Business) with acquired knowledge at the level of a Business Office Coordinator I
