Full Job Description

Job Description:
Client Care Coordinators are the clients’ first impression of the practice, on the phone or in person. They are responsible for greeting clients, differentiating routine cases from emergency cases, scheduling appointments, generating invoices, etc.

Wagnolia Veterinary Clinic is a progressive, state-of-the-art veterinary clinic offering integrative medicine to patients in the Uptown neighborhood and all across Chicago. We are the product of sincere dedication, a constant commitment to learning and maintaining progressive medical techniques and treatments, and a group of individuals whose number one priority is to make pet (and client!) visits as comfortable and stress-free as possible.

What You’ll Be Doing (The Job):

Answering phone calls and emails, scheduling appointments, triaging questions, and preparing our clients for their visit through our practice management applications
Coordinating workflow between clients and the clinical team
Relaying doctors’ recommendations to clients
Learning about the best quality of medicine and pet care by attending staff meetings and on and off-premises CE events
Processing client requests while ensuring the highest quality of care and satisfaction for our clients at all times
Processing admissions and discharges and accurately scheduling follow-up appointments as necessary.
Processing invoices and payments accurately
Updating and maintaining client/pet records and files in accordance with legal requirements
Other duties and tasks as they arise

What We Need From You (Requirements):

At least 1 year of experience in a client-facing role. You care about providing a good experience for all of our pet owners and their animals.
You are organized, detail-oriented, and have excellent follow-up skills.
Reliability and punctuality. You understand the importance of your role to the team and our clients.
Patience. You take the feelings and needs of others into account and display patience even when others around you may be stressed, or upset.
Resilience. You are able to stay on course, and support co-workers, pets, and pet owners in the face of pressure or hardship.
You are an excellent communicator. You are a good listener and able to distill critical patient information to veterinarians, and other teammates.
Empathy and compassion. As the first and last person our clients and pets interact with during a visit you do your best to ensure that owners and pets feel welcome, safe, and cared for.
Have demonstrated experience using Windows-based computer programs.
Able to lift 30 lbs.
