Full Job Description

Position Title: Construction Office Manager

Location: Des Plaines, IL

Schedule: Primarily in-office, Monday–Friday from 9:00 AM – 5:00 PM, with occasional after-hours or Saturday availability as needed to support critical projects.

Shape the Systems. Empower the Teams. Drive the Vision.We are seeking a highly organized and operationally driven Office Manager to serve as the operational backbone of a growing construction firm.

Success in this role means smooth day-to-day operations, empowered teams and the ability to remove the leadership from daily administrative oversight, while maintaining structured visibility and control.

This position is designed for someone who thrives in a fast-paced construction environment and is ready to take ownership of operations with professionalism, precision, and confidence.

Key Responsibilities of Operational Leadership

Manage daily office operations with independent judgment and decision-making authority
Build, document, and continuously improve office and operational systems
Track tasks and workflows through project management platform
Maintain company calendar and coordinate internal deadlines
Serve as primary in-office point of contact for staff, vendors, clients, and visitors
Identify inefficiencies and proactively implement improvements

Financial Management & Oversight

Enter and reconcile financial data across QuickBooks Online, BuilderTrend, and sworn statements
Ensure all accounting data is entered within 48 hours of receipt
Reconcile bank accounts monthly (completed by the 10th of each month)
Generate and submit client invoices promptly upon milestone triggers
Monitor KPIs including backlog, collections, open invoices, and project starts/completions
Deliver accurate monthly financial reports to executive leadership
Process checks, scan/upload invoices and receipts, and maintain organized digital records

Project & Construction Administration

Apply for permits and coordinate documentation with municipalities and utilities
Prepare waivers of lien and manage subcontractor onboarding paperwork
Maintain accurate owner financial reports aligned across all platforms
Support project managers with contracts, change orders, and invoice submissions
Assist with payroll documentation and timesheet collection
Coordinate document routing and approvals (DocuSign or similar platforms)

Compliance & Documentation

Maintain organized digital and physical filing systems
Manage audit, insurance, and compliance documentation
Ensure daily filing and 24-hour mail processing standards
Track CRM entries and maintain active subscriptions for marketing and sales platforms

Key Requirements

Strong experience with QuickBooks Online (required)
Experience with construction management platforms such as BuilderTrend (preferred)
Demonstrated ability to oversee financial data across multiple systems
Strong understanding of construction accounting processes (sworn statements, lien waivers, pay applications preferred)
High attention to detail and oversee financial accuracy
Proven ability to build and improve systems
Professional communication skills with municipalities, vendors, subcontractors, and clients
Emotional maturity and composure under pressure
Full-time, in-office availability Monday–Friday starting at 9:00 AM
Long-term commitment mindset with ownership mentality

Performance Standards

Financial data entered within 48 hours
Managing compliance of third party accounting partners
Bank reconciliations completed by the 10th of each month
Client invoices submitted within 1 day of milestone trigger
Monthly financial reports delivered by the 10th
All documents filed daily
Email responses within 24 hours
Professional, organized office environment maintained at all times
