Job Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This energetic role is vital in ensuring smooth office operations, providing exceptional support to staff and clients, and maintaining an efficient work environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and a proactive attitude. In this position, you will manage a variety of clerical tasks, coordinate schedules, handle client interactions, and support office management activities. Your enthusiasm and attention to detail will help drive our team's productivity and success every day!

Responsibilities

Supports unit manager’s written correspondence needs in drafting, formatting, transcribing, and editing emails, memos, client communications, newsletters, proposals and presentations
Produces financial analysis in Excel from data provided by internal sources (Finance, unit operations, etc.) in preparation for meetings, proposals and presentations
Conserves unit manager's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
Maintains unit manager's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
Represents the leadership team by attending meetings in the case of an absence; speaking for the leadership team.
Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
Maintains customer confidence and protects operations by keeping information confidential.
Completes projects by assigning work to clerical staff; following up on results.
Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Contribute to team effort by accomplishing related results as needed.
Know the process of onboarding and fingerprints
Stay in compliance for fingerprints

Job Requirements/Specifications

Education and Experience: The requirements listed below are representative of the knowledge, skill, and/or ability required.

Required:

High School Diploma/GED or equivalent work experience
Minimum of 1 year experience in a cash handling position
Ability to perform simple arithmetic as well as to understand measurements and conversions
Responsible for meeting and maintaining state and local certification requirements (Food Handler certification)
