Location

Primary residence in the Chicago metropolitan area with regular travel to additional private residences in Florida and Wisconsin.

Schedule

Monday – Friday, 10:00 a.m. – 6:00 p.m.

Role starts: August, 2026 (Flexible)

Compensation

$45.00 – $58.00 per hour, commensurate with experience. ($93,600 – $120,600 gross annual salary)

Position Overview

A distinguished family is seeking an accomplished House Manager to oversee the operations, maintenance, and administration of multiple luxury residences. This is a highly visible, hands-on role requiring exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs before they arise.

The ideal candidate is a proactive professional who thrives in a dynamic environment, enjoys creating systems and efficiencies, and takes pride in ensuring every aspect of the household operates seamlessly. The successful candidate will serve as the central point of coordination for the family’s residences, vendors, travel logistics, household administration, and lifestyle support.

Key Responsibilities

Estate & Household Operations

Oversee the daily operations and presentation of multiple residences.
Ensure all homes are maintained to impeccable standards at all times.
Manage household inventories, supplies, pantry systems, and seasonal transitions.
Coordinate laundry, wardrobe care, and household organization systems.
Oversee vehicle maintenance schedules and readiness.
Coordinate recreational equipment, watercraft, and seasonal property needs.
Manage mail, deliveries, packages, and household security systems.
Maintain detailed household records and operational procedures.

Vendor & Property Management

Serve as the primary liaison for all household vendors and service providers.
Coordinate and supervise landscapers, cleaners, HVAC technicians, electricians, plumbers, A/V specialists, and other contractors.
Obtain bids, compare proposals, negotiate services, and monitor project quality.
Maintain maintenance logs, warranties, and service agreements.
Respond effectively to household emergencies and unexpected issues.
Ensure all properties remain well-maintained and guest-ready year-round.

Travel & Residence Transition Management

Prepare residences before family arrivals and departures.
Coordinate grocery stocking, provisioning, and household readiness.
Manage travel logistics, transportation arrangements, reservations, and shipping needs.
Monitor weather conditions and coordinate preventative measures when necessary.
Ensure homes are properly opened, secured, and maintained during periods of absence.
Oversee seamless transitions between residences.

Personal Assistant & Administrative Support

Manage household calendars and scheduling.
Coordinate family visits, guest stays, and special events.
Handle gift purchasing, returns, exchanges, subscriptions, and renewals.
Schedule appointments and coordinate household-related meetings.
Maintain household databases, records, and digital filing systems.
Track household expenses and assist with light bookkeeping functions.

Hospitality & Entertaining

Prepare guest accommodations and oversee hospitality standards.
Coordinate catering, staffing, and vendor services for events and gatherings.
Assist with holiday planning and seasonal entertaining.
Ensure all events are executed smoothly and professionally.

Systems Development & Process Improvement

Create and maintain household manuals, inventories, checklists, and standard operating procedures.
Implement digital organization systems and recurring maintenance schedules.
Develop efficient processes that reduce the family’s day-to-day administrative burden.
Continuously identify opportunities to improve household operations and service standards.

Culinary Support

Prepare simple, healthy meals as needed.
Follow recipes with consistency and attention to detail.
Develop meal ideas and maintain appropriate food inventories.
Ensure the family’s daily food needs are anticipated and met.

Family Support Coordination

Provide occasional non-medical support to elderly family members and service as an additional layer of oversight and communication for the family as needed.
Assist in the occasional coordination of meal preparation and delivery for elderly family members as needed.
Assist with errands, grocery shopping, prescription pickups, and household logistics when appropriate.
Coordinate with existing caregivers, nursing personnel, medical transportation providers, and household vendors to ensure continuity of care and household operations.
Serve as a trusted point of contact during periods when family members are traveling or unavailable.

Family Concierge Services

Provide occasional support to adult family members, including coordinating household services, deliveries, travel arrangements, vehicle maintenance, apartment transitions, and other logistical needs.
Assist family members during relocations or other significant life events.
Help coordinate family gatherings, holiday visits, and special occasions.
Maintain appropriate professional boundaries while providing responsive, thoughtful assistance to family members.

Qualifications

Minimum 5+ years of experience managing private estates, luxury residences, or complex household operations.
Demonstrated success overseeing multiple properties simultaneously.
Strong technology proficiency and ability to implement organizational systems.
Excellent vendor management and project coordination experience.
Exceptional organizational, administrative, and problem-solving skills.
Strong written and verbal communication abilities.
Ability to travel regularly between residences.
Valid driver’s license and excellent driving record.
Ability to lift, carry, and perform occasional hands-on household tasks.
Verifiable professional references from previous employers.
Candidate commute is 25 miles or less
