Full Job Description

Position Summary

The Campus Operation Manager is responsible for overseeing the day-to-day administrative and operational functions of the school, ensuring that business office processes, student information systems, purchasing, compliance, and operational logistics are executed efficiently and accurately. This position serves as the operational lead for the school's administrative team, providing direct supervision, coordinating cross-functional projects, and supporting the Principal in maintaining effective and compliant school operations. The Campus Operation Manager exercises sound judgment, maintains strict confidentiality, and serves as a key resource for staff, students, families, and external partners by ensuring operational systems support the school's instructional mission.

Essential Duties and Responsibilities

Supervise and coordinate the daily activities of the Operations Team, providing leadership, coaching, training, and performance management to ensure high-quality customer service and operational excellence.
Oversee the administration of the school's student information systems (Aspen, Power School, School Mint), ensuring the accuracy, integrity, and confidentiality of student records while supporting enrollment, scheduling, grading, reporting, and data management processes.
Coordinate business office operations, including purchasing, accounts payable, vendor management, inventory control, cash handling and record keeping in accordance with school policies and internal controls.
Manage administrative processes related to student enrollment, registration, records management, and data reporting, ensuring compliance with district, state, and organizational requirements.
Serve as the primary operational liaison for school-wide events, field trips, testing activities, graduation, and other special programs by coordinating logistics, facilities, transportation, vendors, and operational support services.
Coordinate the day-to-day operations (ie. facility access systems, security platforms, and office management systems) to ensure the school operates safely and efficiently.
Support the implementation and maintenance of compliance requirements by monitoring operational deadlines, maintaining required documentation, coordinating staff compliance activities, and ensuring adherence to applicable regulations and organizational policies.
Collaborate with school leadership to develop and improve operational procedures, workflows, and administrative systems that increase organizational efficiency and improve service delivery.
Analyze operational data, prepare reports, monitor key performance indicators, and identify opportunities for process improvement to support informed decision-making.
Serve as a resource for faculty, staff, students, families, vendors, and community partners by responding to operational inquiries, resolving issues, and providing exceptional customer service.
Coordinate operational communications and maintain accurate records, correspondence, and documentation related to departmental activities and school operations.
Assist the Principal with departmental planning, project management, budget administration, and implementation of strategic operational initiatives.
Perform other duties as assigned in support of the operational needs and mission of the school.

Qualifications

Education

Associate's degree required; Bachelor's degree preferred in Business Administration, Educational Administration, Public Administration, Operations Management, or a related field.

Experience

Three to five years of progressively responsible administrative or school operations experience.
Experience supervising office or administrative staff preferred.
Experience working with PowerSchool required. Experience with financial systems (ie. Bill.com) and operational management in a school environment is strongly preferred.

Excellent written and verbal communication skills.

Proficiency with student information systems, financial software, Microsoft Office, and Google Workspace.
