Position: District Registrar

Reports to: Principal, Calumet New Tech High School / Technology Director

Location: Calumet New Tech High School

Evaluation period: Annual

Purpose of Position: This position serves as the primary registrar for Calumet New Tech High School while acting as the centralized district liaison for student enrollment and residency verification. The registrar maintains the integrity of student records, manages enrollment compliance, and provides essential administrative support to ensure accurate data reporting across all district facilities.

Responsibilities and Duties:

Enrollment & Residency Management:
Enroll new students district-wide, including scheduling appointments, collecting and verifying residency documentation, and providing orientation information.
Organize and implement all aspects of the residency program, including forms, postcards, signage, and website information.
Update and create new forms (e.g., third-party custody, affidavit of residency, and reciprocal agreement forms) in collaboration with administration.
Field inquiries from prospective families regarding enrollment requirements and coordinate with building administrators on cases requiring further documentation or home visits.
Records & Data Administration:
Organize and maintain comprehensive student files and records; create permanent files for all new enrollees.
Screen and input student data into the district student management system; maintain current programs and courses within the system.
Prepare and transmit records for transferring or withdrawing students; fulfill transcript requests and provide updated transcripts as needed.
Request necessary academic, medical, and previous records for new students and maintain follow-up correspondence.
Maintain and purge special education files in compliance with district policy and state law.
Process approved grade changes and distribute acknowledgment forms.
Maintain security and confidentiality of all student records in accordance with FERPA and district policy.
Administrative & Instructional Support:
Complete and maintain state and local assessment reports, dropout prevention reports, and attendance records.
Manage records and reports for Credit Recovery.
Assist the school nurse in compiling accurate health records.
Support student/parent activities, the college/scholarship application process, and testing logistics.
Assign lockers and maintain accurate records of locker assignments and combinations.
Back up the Administrative Secretary when necessary and perform reasonable duties assigned.

Education and/or Experience: High school diploma or general education degree (GED); two years of related experience and/or training; or equivalent combination of education and experience.

Language Skills: Ability to relate to students and parents orally and through written language.

Reasoning Ability: Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Other Skills and Abilities: Must be proficient in the use of computers, office applications, scanners, signature pads, laminators, copiers, and fax machines. Must demonstrate superior time management, organizational, communication, and support skills.

Terms of Employment: 208-day employee, with strong probability of extra summer work. Salary and benefits determined by the Board of School Trustees as per the Clerical Unit Collective Bargaining agreement, including vacation, paid holidays, retirement through the Public Employee Retirement Fund, and medical insurance.

The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the Corporation.
