Full Job Description

Job Summary

The Associate Director serves as a senior leader responsible for the financial management, accounting operations, compliance, and administrative infrastructure of the organization. Reporting to the Executive Director, this position functions as the organization’s controller, ensuring strong fiscal stewardship of public and private funding while supporting the entity’s overall mission and vision. The role oversees accounting, budgeting, grants administration, grant and financial reporting, audits, internal controls, payroll and financial compliance. The Associate Director partners with leadership to ensure funding requirements are met, resources are allocated effectively, and organizational operations support high-quality client services.

Duties and Responsibilities

Financial Reporting & Analysis: Review, monitor and report on organizational financial statements to the leadership team and Board to support informed decision-making on the organization’s financial status. Develop and implement financial policies, procedures and internal controls.
Leadership & Oversight: Oversee administrative staff and manage functions within the financial and development areas of responsibility. Foster a culture of accountability, transparency and continuous improvement.
Compliance & Audit: Ensure compliance with all Nonprofit Integrity Act financial requirements, including independent audits, and maintain compliance with Generally Accepted Accounting Principles (GAAP).
Human Resources: Supervise payroll administration and employee benefits accounting. Oversee financial aspects of vendor contracts, leases and insurance coverage.
Grants & Contract Administration: Oversee financial administration of all grants and contracts and ensure compliance with funder requirements. Oversee preparation of Form 990 and all regulatory filings.
Budget Development & Monitoring: Lead the annual budget process in collaboration with the leadership team and garner board approval. Develop financial projections, analyze variances and provide recommendations for correction action.
Data Management: Utilize Excel to track expenses, maintain databases, and generate administrative reports.

Minimum Qualifications

Bachelor’s degree in accounting, Finance, Business Administration or related field.
A minimum of three years of progressively responsible financial management experience.
A minimum of three years of supervisory experience.
Strong knowledge of nonprofit accounting principles and fund accounting.
Experience preparing financial statements, budgets and projections.
Experience managing government grants and contracts.
Proficiency with accounting software and advanced Microsoft Office skills, especially Excel.
Strong analytical, organizational, and communication skills.

Preferred Qualifications

CPA, CMA, MBA or related professional credential.
Experience in homeless services, affordable housing, behavioral health, human services or other non-profit sector.
Knowledge of HMIS-related funding structures, CalAIM and homeless services funding.
