Job Description

We are a busy civil litigation law firm seeking an Administrative Assistant / Receptionist to assist with general office administration, receptionist duties, and the processing and organization of electronic documents, photographs, videos, and other digital case materials.

This position involves a significant amount of computer-based administrative work and electronic file processing. Much of the day will be spent downloading, saving, renaming, uploading, and organizing electronic files received from clients, insurance companies, vendors, and other parties. The work requires someone who is organized, detail-oriented, and able to handle repetitive tasks accurately and consistently.

The position will also be responsible for answering incoming telephone calls, directing calls to the appropriate staff member, taking accurate messages, and communicating professionally and courteously with clients and other callers.

We are looking for someone who is dependable, organized, comfortable working with computers, and able to balance receptionist responsibilities with ongoing administrative tasks.

Requirements

Prior office experience required
Prior experience answering and handling a multi-line business phone system or similar office phone responsibilities required
Professional and friendly telephone and communication skills
Ability to take clear and accurate messages and route calls appropriately
Strong computer and organizational skills
Proficiency with Google Workspace, Microsoft Office, Dropbox, and PDF documents
Ability to accurately organize, save, rename, and upload files
Strong attention to detail
Ability to perform repetitive tasks accurately and consistently
Ability to balance incoming calls with administrative responsibilities
Reliable, organized, and dependable

Primary Responsibilities

Answer incoming telephone calls in a professional and friendly manner
Direct calls to the appropriate attorney or staff member
Take and relay accurate messages
Assist callers with basic inquiries and determine the appropriate person to handle their request
Process and organize incoming electronic documents, photographs, videos, and records
Save, rename, and upload files according to office procedures
Maintain organized electronic case files
Review client uploads and identify what materials were provided
Assist with general office and receptionist duties
Assist attorneys and staff with administrative support as needed

Pay: From $24.00 per hour
