JOB DESCRIPTION

Executive Assistant (Confidential)

CLASSIFICATION: Classified Staff (Confidential)

REPORTS TO: Executive Director

Basic Function

The Assistant to the Executive Director provides high-level administrative, logistical, and strategic support to ensure the efficient operation of the Chico Country Day School. Serving as the primary point of contact for the Executive Director, this role requires a creative professional who thrives in a fast-paced, mission-driven, and evolving school environment.

Because this position routinely handles sensitive information, the individual must exercise absolute confidentiality, discretion, and sound judgment. A high degree of flexibility is required to balance shifting priorities, respond to unexpected campus needs, and support a community-oriented school culture under minimal supervision.

Representative Duties

Coordinates and prioritizes workflow within the office of the Executive Director, remaining highly adaptable to shifting school-site priorities, operational changes, and the dynamic needs of a school environment.
Prepares, compiles, and posts legally compliant Board agendas and materials (meeting Brown Act or state-specific open meeting requirements). Coordinates and participates in Board of Directors meetings, and manages communications between the Executive Director, the Board, and the school community.
Processes, manages, and safeguards highly confidential and sensitive legal and operational materials, including employee relations, personnel actions, student disciplinary records (FERPA), charter renewal documentation, and legal compliance materials.
Directs and maintains the complex calendar of the Executive Director. Screens, prioritizes, and routes incoming communications.
Leads and coordinates school-wide special projects, professional development, and community events, adapting to changing timelines and project scopes as requested by the Executive Director.
Performs other related duties as assigned for the purpose of ensuring the seamless operation of the administrative team and supporting overall campus health.

Knowledge, Skills, and Abilities

Knowledge

Knowledge of Google Workspace (Docs, Sheets, Slides, Forms) and school data management systems.
Deep understanding of what constitutes a "confidential matter" and how to maintain strict boundaries within a close-knit school community.

Skills

Exceptional written and verbal communication skills, with the ability to draft professional, sensitive correspondence for internal and external stakeholders.
Proven ability to coordinate tasks across multiple departments while keeping the Executive Director organized.

Abilities

Ability to pivot between tasks, work with a wide variety of personalities in a diverse school setting, and remain calm, composed, and productive under pressure or during frequent interruptions.
Ability to hold sensitive information in the strictest confidence, ensuring school-site data and discussions are never compromised.
Ability to understand state open-meeting laws (e.g., the Brown Act), student privacy laws (FERPA), and public records requests.
Ability to work independently with minimal supervision, anticipating the needs of the Executive Director and proactively offering solutions.

Minimum Qualifications

Experience: Minimum of three (3) years of progressive administrative assistant experience and handling confidential matters preferred.

Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in business administration, communications, or a related field preferred.

Equivalency: A combination of education, training, and job experience that demonstrates the required knowledge, skills, and high discretion necessary to perform the essential functions of the role.

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling up to 25 pounds; occasional stooping, kneeling, and crouching; and significant fine finger dexterity for computer work. Generally, the job requires 50% sitting, 25% walking across the school campus, and 25% standing. This job is performed in a vibrant, collaborative, and fast-paced school office environment.

Pay: $24.96 - $38.87 per hour
