Job Overview

We are seeking a professional, organized, and detail-oriented Receptionist / Administrative Assistant to join our growing tax accounting firm. This position serves as the first point of contact for our clients and plays an important role in providing exceptional customer service while supporting the daily operations of our office.

The ideal candidate will have approximately 5 years of administrative or accounting office experience, strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a professional environment. Experience working in a CPA firm, bookkeeping office, or other professional services environment is highly preferred.

This role offers an excellent opportunity for an experienced administrative professional who enjoys working directly with clients and contributing to a team-oriented workplace. Candidates with experience in QuickBooks bookkeeping, payroll processing, bank reconciliations, or accounting support will be highly valued.

Responsibilities

Welcome clients and visitors in a professional and friendly manner while providing an exceptional first impression of our firm.
Manage incoming phone calls, emails, and client inquiries with professionalism, accuracy, and excellent phone etiquette.
Schedule client appointments, maintain calendars, and coordinate meetings for tax professionals and staff.
Assist with client onboarding by collecting documents, organizing information, and maintaining accurate client records.
Maintain organized digital and physical filing systems to ensure confidential documents are properly stored and easily accessible.
Assist with administrative tasks related to tax preparation, including document management, client communications, and workflow tracking.
Perform accurate data entry and maintain client information using office software and accounting systems.
Provide general office support, including correspondence, scanning, copying, mail processing, and maintaining office supplies.
Assist with bookkeeping responsibilities as needed, including QuickBooks data entry, bank reconciliations, accounts payable/receivable support, and financial record organization.
Assist with payroll processing and related payroll reporting using QuickBooks Payroll or similar software (preferred).
Maintain strict confidentiality when handling sensitive financial and personal client information.
Support the accounting team with various projects and administrative tasks during tax season and throughout the year.

Qualifications

Approximately 5 years of experience in administrative, accounting, bookkeeping, or professional office settings preferred.
Experience working in a CPA firm, tax office, bookkeeping firm, or financial services environment is a plus.
Strong organizational skills with the ability to prioritize tasks and meet deadlines.
Excellent verbal and written communication skills with a professional and friendly demeanor.
Strong attention to detail and accuracy when handling client information and financial documents.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office technology.
Experience with QuickBooks Online/Desktop is highly preferred.
Knowledge of bookkeeping processes, payroll, reconciliations, and basic accounting principles is a strong advantage.
Ability to handle confidential client information with professionalism and discretion.
Ability to work independently while also collaborating effectively with a team.

Experience processing payroll reports and payroll tax filings
Knowledge of accounting principles and financial statements
Prior experience supporting tax preparation or CPA firm operations
Bilingual communication skills are a plus
