Position Summary
The Program Manager for Heartland to Home is responsible for the day-to-day operations, growth, and implementation of the Heartland to Home CSA program. Working closely with the Director of Community Food, this position oversees customer experience, vendor relationships, inventory management, ordering systems, distribution logistics, marketing efforts, and program development. While the Director maintains overall financial oversight and budget authority, the Program Manager plays a key role in supporting budget accountability and operational efficiency. The ideal candidate is highly organized, customer-focused, entrepreneurial, and passionate about connecting communities with healthy food while building a sustainable social enterprise.
Requirements:
Essential Duties and Responsibilities
Program Operations

Oversee the day-to-day operations of the Heartland to Home CSA program.

Manage CSA membership enrollment, subscriptions, renewals, and customer communications.

Coordinate weekly and monthly produce procurement and box assembly.

Develop and maintain efficient operational procedures and workflows.

Monitor inventory levels and product quality to ensure customer satisfaction.

Ensure compliance with all food safety standards and organizational policies.
Vendor & Farm Relations

Build and maintain strong relationships with local farmers, ranchers, and food producers, including visiting their locations as needed.

Negotiate pricing and procurement agreements.

Coordinate product availability and seasonal planning with vendors.

Identify and recruit new local suppliers to diversify offerings, including visiting suppliers’ sites as needed to assess program fit.
Customer Service & Community Engagement

Serve as the primary point of contact for CSA members.

Address customer inquiries, concerns, and service issues professionally and promptly.

Develop strategies to improve customer retention and membership growth.

Gather customer feedback and implement program improvements.
Logistics & Distribution

Coordinate packing, distribution, pickup locations, and delivery schedules.

Ensure accurate order fulfillment and timely delivery.

Work collaboratively with warehouse staff, drivers, and volunteers.

Maintain systems to track orders, deliveries, and customer data.
Marketing & Program Growth

Develop and implement marketing strategies to increase CSA participation.

Manage social media, newsletters, promotional campaigns, and outreach efforts.

Create partnerships with community organizations, employers, healthcare providers, and local businesses.

Assist with grant opportunities, sponsorships, and fundraising efforts related to the program.
Financial & Administrative Support

Assist the Director of Community Food in maintaining and monitoring the Heartland to Home budget.

Track program expenses, purchasing, and inventory costs to help ensure operations remain within budgeted parameters.

Provide regular reporting on program activities, membership trends, product demand, and operational needs.

Identify opportunities for cost savings, operational efficiencies, and program growth.

Assist with data collection and reporting for grants, partnerships, and organizational reporting requirements.

Ensure accurate recordkeeping for program operations, customer accounts, inventory, and vendor relationships.
Leadership & Supervision

Supervise assigned staff, volunteers, and interns.

Provide training, coaching, and performance management.

Foster a positive, mission-driven team culture.

Support cross-departmental collaboration with other MACC programs.
Qualifications
Required
-
Bachelor's degree in Business, Agriculture, Nonprofit Management, Public Administration, Marketing, or related field; equivalent experience may be considered.

Minimum of 3 years of program management, operations management, retail food, agriculture, nonprofit, or related experience.

Strong organizational and project management skills.

Experience managing budgets and financial reporting.

Excellent communication and relationship-building abilities.

Proficiency with Microsoft Office Suite, Google Workspace, and database systems.

Valid driver's license and ability to travel locally as needed.
Preferred

Experience with CSA programs, food distribution, agriculture, farmers markets, or local food systems.

Experience with e-commerce platforms, subscription-based services, or order management software.

Knowledge of food safety regulations and inventory management.
