Assistant Department Coordinator Residential/Curbside & Front Load Operations
Mound Waste
Chillicothe, Ohio
Position Overview
Mound Waste is seeking a dependable, organized, and motivated Assistant Department Coordinator to support our Residential/Curbside and Front Load Division.
This position will serve as the #2 within the department, working directly with the Department Coordinator to help manage daily operations, drivers, routes, customer service issues, equipment needs, and administrative responsibilities.
This is not strictly an office position. The successful candidate must be comfortable working in a fast-paced environment where priorities can change throughout the day. The position requires someone who can communicate effectively with drivers, office personnel, customers, and management while helping ensure daily routes are completed safely, efficiently, and accurately.
The Assistant Department Coordinator will also be expected to assume greater responsibility when the Department Coordinator is unavailable and help ensure the department continues operating without interruption.
Primary Responsibilities
Daily Operations & Dispatch
- Assist the Department Coordinator with the daily operation of the Residential/Curbside and Front Load Division.
- Help coordinate driver assignments, truck assignments, routes, and daily staffing needs.
- Monitor routes throughout the day to identify delays, missed stops, equipment issues, or other operational problems.
- Communicate directly with drivers regarding route changes, customer issues, service requests, and operational needs.
- Help ensure all scheduled routes and services are completed before the department closes for the day.
- Receive a daily operational handoff from the Department Coordinator when necessary and assist with final department closeout.
Routing & Route Management
- Assist with reviewing and planning residential and Front Load routes.
- Help maintain route maps, driver assignments, service areas, and customer information.
- Participate in the continued evaluation of route zoning and assignments to improve efficiency and balance workloads among drivers.
- Identify routes that are consistently running long, experiencing service problems, or creating unnecessary travel.
- Help investigate missed stops and determine whether the issue resulted from routing, driver performance, customer information, equipment, or another operational problem.
Customer Service & Ticket Management
- Assist with reviewing open customer service tickets and ensuring issues are assigned to the appropriate person.
- Follow up on unresolved customer complaints, missed pickups, service changes, overages, large items, and other service requests.
- Work with office personnel to ensure information provided to drivers is complete and accurate.
- Help ensure tickets are properly documented and closed when work is completed.
- Escalate significant or recurring customer issues to the Department Coordinator.
Driver & Employee Support
- Serve as a point of contact for drivers during daily operations.
- Assist with attendance, scheduling, PTO coverage, and staffing adjustments.
- Help communicate company expectations and operational procedures to employees.
- Assist with onboarding and training new drivers and department employees.
- Help identify performance, attendance, safety, or training concerns and communicate them to the Department Coordinator.
- Support accountability while maintaining professional and respectful relationships with employees.
Fleet & Maintenance Coordination
- Monitor truck and equipment issues reported by drivers.
- Help ensure maintenance needs are properly documented and communicated.
- Follow up on open maintenance items until they are resolved.
- Assist with planning truck assignments when equipment is unavailable.
- Help ensure drivers are completing required inspections and reporting defects appropriately.
Administrative & Office Support
- Assist with payroll and timekeeping review.
- Review route documentation, service tickets, driver paperwork, and other department records for accuracy.
- Assist with billing and collection related information when necessary.
- Maintain organized and accurate department records.
- Help prepare daily and weekly operational reports for management.
- Assist the Department Coordinator with special projects and other administrative responsibilities as needed.
Leadership Responsibilities
The Assistant Department Coordinator is expected to develop a working knowledge of the entire Residential/Curbside and Front Load operation.
This individual should be capable of helping direct daily operations and making reasonable operational decisions when the Department Coordinator is unavailable.
The goal of this position is not simply to assist with paperwork. The Assistant Department Coordinator should become someone the Department Coordinator and company management can rely upon to help run the department, solve problems, communicate expectations, and ensure work gets completed.
