Position Title: Office Administrator & Bookkeeper

Company: Cylinders, Inc.

Location: Lisle, IL – In-person

Terms: Full-Time

Commitments: Monday–Friday , 8:00 a.m. – 4:00 p.m.

About Us:

Cylinders, Inc. is a rapidly growing family-owned and operated repair and machine shop specializing in hydraulic and pneumatic cylinders.

About the Role:

We are seeking a detail-oriented individual with experience in office administration, bookkeeping, and customer service. The candidate must be dependable, organized, and able to effectively manage and prioritize multiple tasks while supporting daily office operations.

As time progresses, the hire-e will gain knowledge of our shop operations and the industries we serve to confidently assist customers and vendors as needed.

This position reports directly to the CEO while working closely with and providing administrative support to the President, CEO, and Directors daily to ensure the smooth operation of the office. The ability to receive direction and communicate professionally with all levels of the organization is essential. The successful candidate must perform all duties on-site at our facility; consequently, this role is not eligible for remote or hybrid work options.

Responsibilities:

Perform bookkeeping and maintain accurate, up-to-date financial records using QuickBooks Desktop
Serve as the first point of contact by answering all incoming calls, directing calls when appropriate, and greeting visitors
Provide knowledgeable assistance to customers and vendors as appropriate
Utilize applicable software to complete administrative tasks
Organize digital and physical files according to established procedures
Monitor and order office and breakroom supplies
Maintain a clean workspace and professional office environment
Perform additional duties as assigned

Candidate Requirements:

High school diploma or equivalent GED
Hands-on experience performing daily bookkeeping functions, including accounts payable, accounts receivable, and bank reconciliations*
Proven proficiency navigating accounting software, with 1-3 years of QuickBooks Desktop experience strongly preferred
Strong organizational skills with proven ability to manage, prioritize, and complete multiple tasks accurately
Competency in the Microsoft 365 suite, including Outlook, OneDrive, Teams, Word, and Excel
Background in office administration or related administrative roles preferred
Excellent verbal and written communication skills with proven ability to professionally engage with customers, vendors, and coworkers in person, by telephone, or in writing
Self-motivated to work independently while collaborating effectively with management and peers
Physical capability to sit, stand, and move throughout the office, operate standard office equipment, and lift materials weighing up to 20 pounds
Must be legally authorized to work in the United States and able to satisfy Form I-9 employment eligibility verification requirements upon hire

* Formal education in accounting, bookkeeping, or a related field may be considered in lieu of professional experience for recent graduates who can demonstrate strong academic performance and practical understanding of core bookkeeping principles
