Assistant Project Manager (APM)

Reports To: Project Manager

Position Summary

The Assistant Project Manager serves as the Project Manager's primary field representative, ensuring projects remain organized, productive, and moving forward every day. This position is heavily field-based, with the majority of each day spent on active job sites coordinating subcontractors, documenting progress, procuring materials, resolving day-to-day issues, and communicating project status back to the Project Manager.

The APM is responsible for identifying problems before they impact the schedule and ensuring every trade has the information and resources needed to perform their work efficiently.

Primary Responsibilities:

Field Coordination

Visit assigned project sites daily.
Act as the primary field representative for the Project Manager.
Coordinate daily activities between subcontractors and field personnel.
Verify subcontractors understand their scope of work before beginning.
Answer day-to-day project questions or coordinate answers with the Project Manager.
Identify conflicts between trades before they become delays.
Ensure work areas are ready for the next phase of construction.
Maintain a visible presence on active projects to keep work progressing.
Reporting with daily logs and submitting forms

Material Procurement & Logistics

Procure project materials as directed by project requirements.
Pick up emergency, or short notice material when needed
Take extra material back to the supplier for returns or to storage for keeping
Organizing storage and keeping track of inventory
Coordinate deliveries with suppliers and field crews.
Verify materials arrive complete and on schedule.
Resolve material shortages or delivery issues quickly.
Communicate lead-time concerns to the Project Manager.
Coordinate equipment and specialty material deliveries when necessary.

Subcontractor Coordination

Walk projects with prospective subcontractors.
Explain project scope and expectations.
Receive field quotes and communicate pricing information to the Project Manager.
Ensure subcontractors have the information needed to perform their work.
Follow up on outstanding commitments from subcontractors.
Verify completed work aligns with project expectations before notifying the Project Manager.

Project Documentation

Document daily project progress through photographs and field reports (daily logs and forms).
Maintain accurate records of completed work.
Record field conditions that may impact project cost or schedule.
Document unforeseen conditions requiring Project Manager review.
Track completed milestones.
Maintain organized documentation for each assigned project.

Financial Support

Allocate receipts to the appropriate project.
Review invoices for accuracy prior to approval.
Assist with billing documentation and supporting information.
Participate in weekly project financial review meetings with the Project Manager.
Monitor field activities for potential change order opportunities and communicate them promptly.

Quality Control

Observe installed work for compliance with project requirements.
Inspecting and approving work for inspections approved for the APM position, escalating issues when necessary.
Identify workmanship concerns early.
Verify completed work before subsequent trades begin.
Assist in maintaining company quality standards.
Coordinate punch list items throughout construction.

Client & Team Communication

Maintain professional relationships with customers and subcontractors.
Provide project updates to the Project Manager.
Communicate field concerns promptly.
Coordinate site visits and inspections as needed.
Represent WeGC professionally on every project.

Performance Expectations (KPIs)

Success in this role will be measured by:

Daily job site presence.
Timely procurement of project materials.
Accurate and timely receipt & bill allocation, receipts are not to be behind more than 48 hours at a time
Invoice approval turnaround time (within 24 hours)
Quality and consistency of project documentation.
Response time to field issues.
Reduction in subcontractor delays.
Identification and communication of project issues before they impact production.
Quality of subcontractor coordination.
Project Manager satisfaction with field support.
Customer and subcontractor relationships.

Skills & Qualifications

Strong knowledge of residential construction practices.
Proficient with computers and application organization, microsoft office, or google systems
Ability to read and interpret construction drawings.
Excellent communication and interpersonal skills.
Highly organized and self-motivated.
Strong problem-solving abilities.
Comfortable working independently in the field.
Ability to manage multiple active job sites.
Proficiency with mobile construction documentation software.
Valid driver's license with ability to travel between job sites.

Pay: $48,000.00 - $60,000.00 per year
