Administrative & Accounting Controller

Pay: Based on Experience.

Job Type: Full-Time

Schedule: Monday–Friday, 8:00 AM – 4:00 PM

Location: Near Fairfield Highschool

Position Overview

We are seeking an Administrative & Accounting Controller to support daily office operations, customer communication, vendor relations, and accounting functions. This position plays a critical role in keeping our office organized, efficient, and professional.

The ideal candidate is highly organized, comfortable multitasking in a fast-paced environment, and experienced with administrative tasks, accounting support, and QuickBooks.

Responsibilities

Greet and welcome customers, visitors, and vendors in a professional and friendly manner
Answer incoming phone calls, route calls appropriately, and provide accurate information
Support day-to-day office operations and administrative functions
Manage office supplies, breakroom inventory, and purchase orders
Maintain a clean, organized, and professional office environment
Process invoices and assist with accounts payable and accounts receivable
Enter, verify, and maintain accurate data in company systems, spreadsheets, and databases
Assist with bookkeeping and financial recordkeeping using QuickBooks
Communicate with vendors regarding invoices, payments, and account inquiries
Prepare reports, forms, and documents as needed
Support ownership and office leadership with additional administrative tasks

Qualifications

2+ years of administrative, office, bookkeeping, or accounting support experience preferred
Strong proficiency in QuickBooks (required)
Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
Strong communication skills, both verbal and written
Excellent organizational skills and attention to detail
Strong problem-solving ability and self-motivation
Ability to prioritize tasks and manage multiple responsibilities efficiently
Ability to maintain confidentiality and handle sensitive information professionally
Comfortable using computers, tablets, and office technology
AI experience, capabilities preferred.
