About Us

Position Summary

The Commercial Transaction Coordinator serves as the operational hub of our Select Commercial Division. This role provides comprehensive transaction coordination services while supporting commercial agents through the Signature Select Commercial Listing Concierge Program. In addition to managing transactions, this position plays a key role in marketing, technology, agent training, research, business development, and strategic initiatives designed to expand our commercial division across multiple states.

Essential Responsibilities

Coordinate commercial sales and leasing transactions from contract through closing.
Administer the Silver Select and Signature Select Transaction Concierge Programs.
Open escrow and establish transaction timelines.
Coordinate with escrow, title, lenders, inspectors, surveyors, and other vendors.
Prepare, organize, upload, and maintain transaction files using ZipForms.
Review transaction files for accuracy and completeness, requesting additional documentation when needed.
Coordinate digital signatures and execution of transaction documents.
Prepare Broker Demands, commission instructions, lease commission invoices, and W-9 documentation.
Monitor contingency dates, contractual deadlines, and closing milestones.
Serve as the primary point of contact for the Select Commercial Hotline, providing support to agents and responding to general commercial inquiries.
Assist with commercial compliance policies, procedures, and quality control.
Support marketing initiatives, business development projects, technology implementation, and commercial division growth strategies.

Minimum Qualifications

Active California Real Estate Salesperson or Broker License preferred.
Experience coordinating real estate transactions.
Working knowledge of AIR CRE contracts, C.A.R. Commercial forms, and ZipForms.
Understanding of commercial escrow, title, due diligence, and closing procedures.
Excellent organizational, project management, and time management skills.
Ability to manage multiple transactions while meeting critical deadlines.
Strong attention to detail with exceptional proofreading and quality control skills.
Outstanding written and verbal communication skills with a customer-service mindset.
Proficiency with Microsoft Office and other business technology platforms.

Preferred Qualifications

Experience in commercial real estate sales, leasing, or transaction coordination.
Experience with office, industrial, retail, investment, land, farm & ranch, and leasing transactions.
Experience reviewing purchase agreements, leases, amendments, and related transaction documents for completeness and compliance.
Previous experience working in a commercial real estate brokerage environment.
