Infusion Coordinator – Rheumatology

Clinic Location: Tulsa, OK
Job Type: Full-Time

About Us

Access Solutions Medical Group is a growing multi-specialty practice dedicated to providing exceptional, patient-centered care. Our Rheumatology clinic is expanding its infusion therapy program, and we are seeking an organized, compassionate, and detail-oriented.

Infusion Coordinator to oversee the daily coordination of infusion services. This position is ideal for someone with experience in rheumatology, infusion therapy, insurance authorizations, and patient scheduling who enjoys creating a seamless experience for patients receiving biologic and specialty infusion medications.

Position Summary The Infusion Coordinator is responsible for managing all aspects of the infusion process, from insurance authorization through scheduling, medication coordination, and patient follow-up. This individual serves as the liaison between providers, patients, specialty pharmacies, infusion vendors, and insurance companies to ensure timely access to treatment.

Responsibilities

Coordinate all infusion referrals for rheumatology patients.
Verify insurance benefits and obtain prior authorizations for infusion medications.
Track authorization approvals, denials, renewals, and expiration dates.
Coordinate medication procurement with specialty pharmacies and distributors.
Schedule infusion appointments while ensuring medication availability.
Maintain accurate documentation in the electronic medical record (EMR).
Monitor infusion schedules to maximize chair utilization and clinic efficiency.
Communicate with providers regarding treatment plans, laboratory requirements, and authorization updates.
Educate patients on the infusion process and answer general treatment questions.
Ensure required laboratory work, consent forms, and treatment plans are completed before infusion appointments.
Coordinate with nursing staff regarding daily infusion schedules and medication preparation.
Assist with appeals for denied authorizations when necessary.
Maintain accurate inventory records and communicate medication shortages or delays.
Monitor manufacturer patient assistance programs and copay assistance opportunities.
Ensure compliance with clinic policies, payer requirements, and regulatory standards.
Participate in quality improvement initiatives to optimize infusion workflows.

QualificationsPreferred:

Experience in rheumatology, oncology, gastroenterology, or infusion medicine.
Knowledge of biologic medications and specialty infusion therapies.
Experience obtaining insurance prior authorizations.
Familiarity with Medicare, Medicaid, and commercial insurance plans.
Experience working in an electronic medical record (EMR) system.
Excellent organizational and time-management skills.
Strong communication and customer service abilities.
Ability to multitask in a fast-paced clinical environment.

Education

High school diploma or GED required.
Medical Assistant certification, LPN, RN, or equivalent healthcare experience preferred.

Actemra® (Tocilizumab)
Simponi Aria® (Golimumab)
Rituxan® (Rituximab)
Benlysta® (Belimumab)
