Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role is the heartbeat of our daily operations, ensuring that our office runs smoothly, efficiently, and professionally. As an Office Administrator, you will be the first point of contact for clients, manage administrative tasks with precision, and support various departments to achieve their goals. Your proactive approach and exceptional organizational skills will help foster a productive and welcoming environment for everyone.

Duties

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette
Oversee calendar management and scheduling for meetings, appointments, and events using productivity software
Handle data entry, filing, and document proofreading to maintain accurate records and ensure seamless information flow
Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping
Provide exceptional customer service by assisting clients with inquiries and supporting client communication efforts
Coordinate office supplies procurement, inventory management, and maintain organized filing systems to optimize office efficiency
Support office management activities including organizing meetings, managing spreadsheets, and assisting with technical proficiency in Microsoft Office applications

Experience

Proven experience in office management or administrative roles with a strong background in clerical tasks and customer support
Familiarity with QuickBooks accounting software and proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience handling multi-line phone systems and providing excellent phone communication skills
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Previous experience as a front desk receptionist is a plus
Demonstrated computer literacy with technical proficiency in productivity software, spreadsheets, and data entry
