Full Job Description

Job Purpose

The Spanish Bilingual Front Office Specialist is responsible for the timely processing, submitting, scheduling and follow up of referrals. The Spanish Bilingual Front Office Specialist tracks existing referrals by program and payer. The Spanish Bilingual Front Office Specialist position requires excellent customer service skills with patients, employees, and the public. Individual must also be flexible, organized and must be able to manage a demanding workload with accuracy.

MAJOR RESPONSIBILITIES

Referrals

Schedules new patient referrals to clinical programs ensuring clinician eligibility for payer.
Verifies non-clinical content on all authorizations/referrals prior to submitting to the payer to ensure all required data fields are complete and accurate.
Assigns, tracks, and schedules 90 day and annual assessments ensuring clinician eligibility for payer.
Enters and scans referrals into the EHR.
Schedules appointments, and links referral as authorized
Updates Care Team and registration information

Customer Service

Acts as the initial point of contact for the medical practice. Greets patients, employees and public in a friendly, timely and courteous manner in all methods of contact to include face-to-face, telephone, and electronic.
Assists with coverage in all front office areas as requested.

Office Support

Works efficiently in the EHR to schedule patient appointments.
Obtains patient demographic information, insurance information, and identifying documents and enters into the EHR.
Obtains necessary patient information to meet current Federal guidelines
Verifies insurance coverage at each visit.
Collects required payment/copayment for services in the form of cash, check or card transactions.
Prepares daily Cash Drawer for deposit.
Scans pertinent patient information into EHR including registration forms, consents, insurance cards, identification, patient authorizations, etc.
Works scheduling worklists in the EMR including wait list, confirm appointment, no-show, reschedule, etc.
Works Patient and Charge Review work queues.
Assists other members of the scheduling department as needed.

General Duties

Maintains an organized, clean and presentable work area.
Maintains cleanliness of waiting room.
Participates in job related trainings and meetings as assigned.
Maintains active knowledge and understanding of contracted payers and service limitations.
Checks and responds to email and voicemail throughout the day.
Functions effectively in a Matrix Management environment.
Completes any duties and special assignments as requested.

Educational Requirements

High School Diploma or equivalency; Associates Degree preferred.

Qualifications

Two years in the medical field to include front office, appointment scheduling and referral authorization.
Fluent in both English and Spanish (reading, writing, and speaking).
Knowledge of health plans, eligibility and guidelines.
Demonstrated ability to read, write and speak English.
Demonstrated ability to use a computer.
Minimum typing speed of 35 wpm.
Experience with the Seriously Mentally Ill population preferred.
Knowledge of ICD-9 and CPT billing codes a plus.

Physical requirements

May include standing, sitting, and/or walking for extended periods

May include working with challenging patients and clients
May include lifting up to 25 pounds

Job Type: Full-time

Pay: $17.00 - $19.00 per hour

Expected hours: 40 per week
