Job Purpose:
Responsible for scheduling appointments and taking messages following established department protocols in a courteous and professional manner
Essential Functions: (Examples of Duties)

Answers incoming calls in a prompt and professional manner.
- Schedules, coordinates, and reschedules patient appointments as needed.
- Obtains and enters patient demographic and insurance information as required.
- Verify online insurance eligibility.
- Takes messages from patients, physicians, hospitals, for emergencies and non-emergencies per established protocols.
- Reviews, maintains, and updates provider schedules ensuring patients are scheduled properly.
- Performs other duties as assigned.
- Maintains strictest confidentiality; adheres to all HIPAA guidelines and regulations
Job Requirements/Qualifications: (Describe minimum qualifications, preferred or required)
Education: High school diploma or GED
Experience: Minimum one year of experience in an appointment scheduling position or customer service position, preferably in a medical practice setting. Computer experience.
Knowledge and Skills: Knowledge of customer service principles and techniques. Knowledge of medical terminology. Skill in communicating effectively with physicians/clinicians about scheduling preferences. Ability to be versatile, dealing with phone calls, in-office patients, staff, and others pleasantly. Ability to handle stressful situations. Ability to establish and maintain effective working relationships with patients, employees, and the public. Ability to communicate calmly and clearly with patients about appointments in all circumstances including when they are ill or have an emergency. Ability to analyze situations and respond appropriately.

Working Conditions: Work is performed in a fast-paced department with frequent interaction with patients, providers, and staff. The position requires frequent computer and telephone use, and the ability to multitask while maintaining accuracy and professionalism. Standard infection control and safety protocols must be followed at all times.
Physical Demands: This position requires prolonged sitting and standing with occasional walking. Must have the ability to hear within a normal range and possess sufficient eye-hand coordination and manual dexterity to operate a computer, keyboard, telephone, copier, calculator, and other standard office equipment. Ability to read printed materials and view computer screens for extended periods. The position also requires the ability to communicate effectively and perform repetitive hand and wrist movements associated with data entry and other administrative tasks.
