Position Summary:
The Personal Assistant provides high-level, confidential personal and administrative support to the Chief Executive Officer (CEO). This role serves as a trusted extension of the CEO, managing a broad range of professional and personal responsibilities across both the home and office environments. The ideal candidate is a proactive, service-minded professional who is highly organized, discreet, and executes responsibilities with a high degree of accuracy and attention to detail.
Essential Duties:
· Manage aspects of the CEO’s family and office calendar, including scheduling and prioritization
· Track open action items across personal and professional projects; proactively follow up to ensure timely completion
· Screen and triage all incoming communications, including but not limited to email and phone calls on the CEO’s behalf
· Manage all domestic and international travel logistics, including air, ground transportation, hotels and dining reservations for the CEO, his family and other company executives
· Prepare itineraries with contingency planning for delays or changes
· Oversee the CEO’s personal household operations, including coordination with household staff and vendors
· Manage personal vendor and household service provider relationships, such as home repair, contractors, auto services, medical appointments, personal shopping and more
· Handle personal bill payment, insurance coordination and expense tracking as directed
· Source, research, and procure personal purchases and special occasion needs
· Coordinate family-related scheduling, school calendars, and personal appointments
· Manage home maintenance schedules, service calls, and vendor follow through for one or more residences
· Assist with the management of pet care, including walking the dog(s) and scheduling/facilitating veterinary appointments
· Conduct research on a wide range of topics and compile concise, actionable summaries for the CEO’s review
· Plan and coordinate special events, dinners, and high-profile social engagements on behalf of the CEO
· Facilitate ordering meals from the onsite office café and/or outside restaurants; follow through on delivery as needed
· Ensure the CEO and family cars are kept with full gas tanks and facilitate frequent car washes
· Manage special projects from inception to completion, coordination with internal teams and external parties as needed
· Maintain cleanliness and organization of the CEO’s office and ensure office supplies are consistently stocked
· Provide ad hoc support to other executive team members as needed, including assistance with scheduling, errands, and special projects
· Handle highly sensitive and confidential information with absolutely discretion and professionalism at all times
· Other duties as assigned
Qualifications, Education and/or Experience:
· Five (5) plus years of experience as a Personal/Executive Assistant supporting a C-Suite executive is required
· Three (3) years of customer service experience is required
· Bachelor’s degree in business administration or related field is preferred
· Demonstrated experience in supporting executives in multi-entity environments
· Experience organizing meetings, events, and travel arrangements, including logistics and vendor coordination is preferred
· Background in household management
· Knowledge of project management tools (e.g., Asana, Trello) is a plus
· Excellent interpersonal, written, and verbal communication skills
· Exceptional problem-solving, critical thinking, and attention to detail
· Highest degree of integrity, respect for confidentiality, professionalism, diplomacy, and discretion in all interactions
· Proven ability to manage sensitive, high-priority, and non-routine information
· Dependable, results-oriented, and highly resourceful, with a strong sense of urgency and excellent judgment
· Outstanding organizational skills and the ability to prioritize tasks, adapt to unexpected requests, and meet deadlines in a fast-paced environment
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and similar productivity software is required
· Valid driver’s license and reliable transportation is required
Working Conditions:
· While performing the duties of this job, the employee is required to stand/move, communicate, and identify written information.
· The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl and lift and/or move up to fifty (50) pounds independently.
· Majority of work will take place in the employer’s home, with some travel required for errands and appointments. When not working in the home, work may take place in a corporate office in Clayton, MO.
· Availability to work flexible hours, including evenings and weekends as needed, and be available by phone/text during off-hours for urgent matters
· This position requires maintaining confidentiality, particularly when dealing with the family’s personal matters, business affairs, or sensitive information.
· While overnight travel for this role is not anticipated, there may be situations that arise that require this role to travel to an offsite company location. Anticipated potential travel does not exceed 10% of the annual work of this position.
· This position may need to move through areas of the corporate office or other worksites of the organization.
· The role requires a high level of adaptability and the ability to respond effectively to changing priorities or urgent requests.
