Position Summary
We are seeking a dependable, organized, and motivated Certified Medical Assistant to become an integral part of our team.
This is not a position for someone who wants to perform the bare minimum or simply clock in and out. We are looking for someone who takes ownership of their responsibilities, enjoys helping patients, works well with others, and wants to contribute to the success and growth of the practice.
This role combines clinical support, front desk responsibilities, patient education, administrative duties, and marketing assistance. Every day may look a little different, and the ideal candidate is flexible, proactive, and comfortable wearing multiple hats.
Key Responsibilities - Clinical Support
Clinical Responsibilities
- Greet and prepare patients for evaluations, examinations, treatments, and procedures.
- Obtain and document vital signs, height, weight, BMI, and other clinical measurements.
- Perform EKGs and body composition analysis using SECA equipment.
- Obtain consent and prepare patients for Gyn exam/ Pap smears and assist providers during examinations.
- Prepare treatment rooms and procedure trays for procedures
- Administer medications when ordered by physician.
- Assist providers during procedures while ensuring patient comfort and safety.
- Collect physician-ordered specimens and perform point-of-care testing.
- Upload laboratory and testing results accurately into the EMR.
- Review, explain, obtain, and upload all required consent forms, treatment agreements, questionnaires, and patient documentation prior to services being performed.
- Upload procedure notes, before-and-after photographs, and supporting documentation into Athena and OptiMantra.
- Monitor incoming laboratory and imaging results and promptly notify providers of abnormal findings requiring review.
- Ensure treatment rooms remain clean, organized, stocked, and ready for patient care.
- Maintain OSHA, HIPAA, CLIA, and infection-control standards at all times.
- Properly disinfect equipment and dispose of sharps and medical waste.
Administrative Duties
- Verify insurance eligibility and active coverage.
- Check patients in and out efficiently.
- Collect payments and process transactions.
- Schedule appointments, consultations, follow-ups, and procedures.
- Coordinate laboratory specimen pickups.
- Manage referrals, laboratory orders, imaging orders, and external communications.
- Fax, scan, upload, and organize documents within the EMR.
- Monitor clinic email inboxes and electronic communications.
- Answer incoming calls and direct questions appropriately.
- Maintain accurate patient records and documentation.
- Monitor inventory levels and notify management when supplies require reordering.
- Assist in maintaining organized clinical and administrative workflows.Marketing & Patient Relations
- Capture and upload photos/videos for social media (Instagram, TikTok, Reels) in compliance with photo consent policies.
- Assist in creating promotional materials, brainstorming campaigns, and writing short captions.
- Support front desk with patient conversion — including upselling packages, explaining membership options, and encouraging rebooking.
- Greet all patients warmly and represent the clinic’s professional, aesthetic, and wellness-focused image.
Other Expectations
- Arrive punctually, ready for a 9 + hour shift.
- Maintain a neat, professional appearance consistent with clinic branding.
- Be proactive, flexible, and able to multitask between clinical and administrative tasks.
- Respect patient boundaries, privacy, and comfort throughout all interactions.
- Participate in training, meetings, and new service rollouts as directed.
- Take initiative to maintain smooth daily operations without direct supervision.
Marketing & Patient Experience
- Capture photos and videos for social media when appropriate and with proper patient consent.
- Assist with content creation for Instagram, Facebook, TikTok, and other platforms.
- Help develop marketing ideas, promotions, and patient engagement initiatives.
- Educate patients regarding available services, memberships, packages, financing options, and treatment plans.
- Encourage patient retention through exceptional service and follow-up scheduling.
- Maintain a welcoming, professional, and positive patient experience from arrival through checkout.
- Represent the practice professionally both in person and online.
Required Qualifications
- Certified Medical Assistant (CMA, CCMA, NCMA, RMA, or equivalent)
- Fluent in English and Spanish
- Reliable transportation
- Strong computer and EMR skills
- Excellent verbal and written communication skills
Preferred Qualifications
- Experience in primary care
- Experience in aesthetics, wellness, weight loss, or medical spa environments
- Experience with Athena
- Customer service or sales experience
- Social media content creation experience

Compensation & Perks

Education
