Full Job Description

We are looking for a skilled Account Payable Clerk to provide financial, administrative and clerical services. Accounts receivable duties include ensuring accuracy and efficiency of operations, processing and monitoring incoming payments and invoices, and general administrative duties in the Finance Department. Although this is an entry level position, the right candidate will have excellent prospects in future advancement opportunities.

Job Summary:

The Accounts Payable Clerk is responsible for managing and processing invoices and payments accurately and in a timely manner. This position requires a high level of attention to detail, strong organizational skills, and the ability to work independently and collaboratively in a fast-paced environment.

Key Responsibilities:

Review and verify invoices and check requests
Match purchase orders, receiving documents, and invoices
Enter and upload invoices into accounting system
Prepare and perform check runs, ACH transfers, and wire payments
Reconcile accounts payable transactions and resolve invoice discrepancies
Maintain vendor files and ensure proper documentation is on file (W-9s, contracts, etc.)
Respond to vendor inquiries and resolve payment issues in a timely and professional manner
Assist with month-end closing processes, including preparing reports and account reconciliations
Monitor accounts to ensure payments are up to date
Maintain accurate historical records and filing of AP documents
Assist with audits and provide requested documentation
Support the Accounting Manager and team with additional duties as needed

Qualifications:

Minimum of 2 years of experience in an Accounts Payable role
Strong knowledge of basic accounting principles and procedures
Proficiency with accounting software (e.g., QuickBooks, NetSuite, Sage, or similar)
Proficient in Microsoft Office, especially Excel
High level of accuracy and attention to detail
Excellent organizational and time management skills
Strong communication and interpersonal skills
Ability to handle confidential information with integrity
Prefer BS degree in Finance, Accounting or Business Administration however high school graduate or some college acceptable
