About The Role
Job Purpose
The Regional Office & Procurement Co-Ordinator will be responsible for providing comprehensive office management, regional support, and purchasing administration across the region. The role supports the Management and Leadership Team, oversees day‑to‑day office operations, and ensures the effective coordination of administrative, supply, and operational activities.
You will bring a positive, proactive, and adaptable approach, with the ability to manage a broad and varied workload in a fast‑paced, dynamic environment. Strong written and verbal communication skills are essential, as is the ability to lead, direct, and manage administrative support activities to ensure tasks are delivered effectively and to a high standard.
Given the breadth of responsibility, this role offers significant exposure across the business, continual learning opportunities, and a varied remit where no two days are the same.
Responsibilities
Office Management & Administration

Act as the first point of contact for the region, ensuring all telephone calls are answered promptly, professionally, and in line with company standards.

Screen and direct external calls appropriately, resolving queries where possible to ensure efficient management of information flow.

Welcome all visitors to the site professionally and courteously, ensuring a positive first impression of CDE at all times.

Maintains an accurate visitor log/book in line with security, safety, and governance requirements, and manages incoming post and deliveries, ensuring they are promptly directed to the appropriate recipient.

Ensure the reception and front‑of‑house areas are kept tidy, organised, and professional, coordinating cleaning or facilities support as required.

Act as a key link between Headquarters and the regional office, supporting clear communication, alignment, and positive working relationships.

Support onboarding and offboarding of employees, including equipment and workspace setup.

Book training for employees when required for health and safety courses.
- Supports regional meetings by preparing and updating region‑specific KPIs and reports

Liaise with Marketing to Host and coordinate inward visits for potential customers, ensuring sites are well‑prepared, visits are professionally managed, and visitors experience a positive and well‑organised representation of CDE.

Support visit logistics, including scheduling, meeting coordination, room preparation, refreshments, and liaison with Sales, Operations, and Headquarters as required.
Procurement Support

Convert purchase requisitions to purchase orders in line with company policies, production schedules, and financial guidelines.

Establish and maintain strong supplier relationships, negotiating best value, including payment terms, rebates, and volume discounts.

Monitor supplier performance (OTD, quality, capacity).
-
Support procurement project scheduling and expediting, ensuring all project materials are delivered to the correct locations on time.

Maintain data integrity in ERP systems, including supplier pricing, BOM updates.

Manage purchase order reporting, supplier invoices, and receipts to prevent payment delays.
-
Action and close out assigned POs and other operational issues related to procurement.

Hire and off-hire plant items as required to support project and site needs.

Liaise with internal departments to ensure accurate information flow, highlighting discrepancies to appropriate teams.
Facilities Support
-
Support the day‑to‑day management and oversight of regional facilities, ensuring offices, warehouses, and communal areas are safe, well‑maintained, and professional.

Review facilities‑related contracts annually (e.g. cleaning, maintenance, services), addressing service issues and escalating concerns where standards are not met.

Coordinate and order office equipment, cleaning supplies, furniture, and consumables, tracking costs and spending against agreed budgets.

Act as a liaison between the region and Headquarters on facilities standards, ensuring regional sites align with CDE expectations, policies, and audit requirements.

Assist the warehouse team when requested, supporting coordination, organisation, and administrative follow‑through where required.
Fleet Management

Coordinate the purchase and disposal of fleet vehicles when required, in line with business needs and approval processes.

Manage the WEX fuel card programme, including issuing cards, monitoring usage, and supporting cost control.

Liaise with Headquarters to roll out a CDE vehicle handbook, ensuring all employees using company trucks or cars have signed and acknowledged the requirements.

Manage the Enterprise long‑term rental account, ensuring vehicles are appropriate, cost‑effective, and fit for purpose.

Ensure all company trucks are fitted with tracking equipment, scheduling repairs and maintenance as required.

Support compliance by ensuring all fleet vehicles meet MSHA safety requirements, escalating risks or non‑compliance promptly.

Required Criteria
- Completion of high school diploma
- 2+ years of office administrative experience
- Experience in managing an office budget
- High level of IT literacy to include strong Microsoft skills
- Experience
- Demonstrable commercial awareness
- Good planning and organizing skills
- Effective communicator- both verbally and through reports
- Excellent interpersonal skills
- Clean current driving license
Desired Criteria
- Higher education qualification or university degree in accounting, business, or a related discipline.
- Experience as an office manager
- Receptionist/administrator experience
