Full Job Description

The Assistant to the Assistant Head of School/Dean of the Upper School provides administrative, organizational, and operational support to the Assistant Head of School/Dean of the Upper School and contributes to the effective daily functioning of the Upper School office. The position supports a wide range of administrative responsibilities, including office coordination, substitute coverage, purchasing, event and program support, records and document management, facilities requests, communications, meeting support, and other activities associated with Upper School operations. This job is non-exempt, full time, working 11 months from 6:30am to 3pm.

Administrative Support

Provides administrative and organizational support to the Assistant Head of School/Dean of the Upper School.

Assists with coordination of meetings, appointments, deadlines, projects, and recurring Upper School responsibilities.

Prepares, organizes, and maintains administrative materials, reports, correspondence, agendas, meeting documents, and other materials as requested.

Assists with follow-up related to meetings, projects, communications, and administrative responsibilities.

Helps maintain calendars, timelines, and schedules associated with Upper School operations.

Anticipates recurring administrative needs and prepares appropriate materials in advance when possible.

Handles sensitive student, employee, family, and institutional information with discretion and confidentiality.

Upper School Office Operations

Supports the daily administrative operations of the Upper School office.

Maintains organized electronic and physical files related to Upper School administration.

Orders office and instructional supplies and tracks purchase orders and related documentation.

Coordinates and submits facility maintenance and work requests for Upper School spaces and follows up as needed.

Assists with preparation and distribution of Upper School forms, schedules, notices, and informational materials.

Substitute Coordination

Coordinates substitute-teacher coverage for the Upper School in accordance with established Academy procedures.

Receives and tracks faculty absence information and identifies substitute coverage needs.

Arranges substitute assignments and communicates coverage information to appropriate faculty, staff, and administrators.

Responds to changes in coverage needs throughout the school day and works with appropriate personnel to resolve coverage issues.

Meetings, Events, and Program Support

Assists with planning, preparation, and coordination of Upper School meetings, programs, ceremonies, and special events.

Collaborates with the Administrative Assistant for Academic Programs and other appropriate personnel to prepare and organize the Upper School Honors Night program.

Assists with preparation of programs, invitations, awards, certificates, meeting materials, room arrangements, and other event logistics as assigned.

Provides administrative support for faculty meetings, student programs, parent programs, and other Upper School activities as needed.

Communication and Office Support

Serves as a professional and welcoming point of contact for faculty, staff, students, families, and visitors interacting with the Upper School office.

Responds to routine inquiries and directs individuals to the appropriate administrator, department, or resource when necessary.

Assists the Assistant Head of School/Dean of the Upper School with routine correspondence and administrative communications.

Facilitates communication among Upper School administrators, faculty, staff, students, families, and other school departments.

Assists with distribution of notices, reminders, schedules, and other communications related to Upper School operations.

Maintains a high level of professionalism, responsiveness, and customer service in all interactions.

Records and Documentation

Maintains organized and confidential electronic and physical files associated with Upper School administration.

Maintains and archives reports, semester examinations, meeting materials, administrative documents, and other records as assigned.

Assists with collecting, organizing, and distributing information required by the Assistant Head of School/Dean of the Upper School.

Follows Academy practices regarding confidentiality, document retention, and access to sensitive information.

Coordinates with the Registrar and other offices as appropriate when information is needed from official student academic records.

Qualifications

Associate's or bachelor's degree preferred.

Previous experience in an administrative assistant, executive assistant, school office, or comparable administrative support role preferred.

Strong organizational and time-management skills with the ability to manage multiple responsibilities and deadlines.

Excellent written and verbal communication skills.

Strong interpersonal skills and the ability to interact professionally with students, families, faculty, staff, administrators, and visitors.

Demonstrated discretion and ability to maintain confidentiality.

Strong attention to detail and commitment to accuracy.

Proficiency with standard office productivity applications, including word processing, spreadsheets, email, calendars, and shared-document systems.

Experience with Veracross or another school information system is desirable.

Ability to learn new technologies, systems, procedures, and administrative processes quickly.

Ability to work independently, exercise sound judgment, solve routine problems, and recognize when matters should be referred to an administrator.

Ability to anticipate needs and take appropriate initiative within the scope of the position.

Ability to remain organized, professional, and responsive in a fast-paced environment with frequent interruptions and changing priorities.

Physical Requirements:

While performing the duties of this job, the employee is regularly required to stand/sit for extended periods of time.

Must be able to ascend and descend stairs, as well as stoop, kneel, crouch, or crawl.

Ability to move about inside the office to access file cabinets, office machinery, etc.

Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

Constantly uses speech and hearing to communicate to a diverse population.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Occasionally moves/lifts up to 25 pounds.
