Full Charge Bookkeeper – Trucking & TransportationAbout the Position
We are seeking a highly skilled, detail-oriented, and experienced Full Charge Bookkeeper to join our growing trucking and transportation company. This position is responsible for managing the company’s day-to-day accounting and bookkeeping functions, with a strong focus on trucking operations, driver settlements, load accounting, fuel expenses, factoring, truck-level profitability, payroll, and financial reporting.
The ideal candidate understands the unique financial requirements of the trucking industry and is comfortable working in a fast-paced environment where accuracy, organization, confidentiality, and meeting weekly deadlines are essential.
You will work closely with drivers, dispatchers, factoring companies, vendors, and management to ensure that loads are properly billed, expenses are accurately recorded, driver settlements are processed on time, and financial records remain complete and accurate.
Key Responsibilities
- Manage full-cycle bookkeeping, including accounts payable, accounts receivable, payroll, general ledger, and bank reconciliations
- Prepare and process weekly driver settlements accurately and on schedule
- Track loads from dispatch through delivery, including revenue, expenses, broker payments, and outstanding receivables
- Maintain accurate records in QuickBooks Online and the company’s Transportation Management System (TMS)
- Reconcile bank accounts, fuel cards, factoring transactions, credit cards, and other financial accounts
- Track and record truck-related expenses, including:
- Fuel and fuel advances
- Repairs and maintenance
- Insurance
- Tolls
- Permits and registration
- Tires
- Equipment and truck payments
- Other operating expenses
- Monitor factoring payments, fees, reserves, and receivables and ensure transactions are properly recorded
- Manage customer invoices, vendor bills, collections, and accounts payable/receivable
- Prepare and record journal entries, account adjustments, and accruals
- Maintain and reconcile the general ledger, balance sheet accounts, and subsidiary accounts
- Perform detailed monthly bank and general ledger reconciliations
- Prepare accurate weekly and monthly Profit & Loss (P&L) reports, including profitability by truck when applicable
- Analyze revenue and expenses to identify missing paperwork, billing discrepancies, unusual expenses, duplicate transactions, and other accounting issues
- Assist with payroll processing and maintain accurate payroll records and supporting documentation
- Ensure payroll and accounting activities comply with applicable tax requirements and accounting standards
- Assist management with budgeting, forecasting, cash-flow analysis, and financial planning
- Prepare financial reports to help management evaluate truck profitability, operating costs, revenue trends, and overall company performance
- Follow up with drivers and dispatchers regarding missing PODs, rate confirmations, receipts, fuel documentation, lumper receipts, scale tickets, and other required paperwork
- Communicate with brokers, customers, vendors, factoring companies, drivers, dispatchers, and management regarding accounting and payment issues
- Maintain strict confidentiality of company, employee, driver, customer, and financial information
- Ensure financial records are complete, organized, and ready for management review and tax preparation
Required Qualifications
- Proven experience as a Full Charge Bookkeeper, Staff Accountant, or similar accounting professional
- Previous trucking, transportation, logistics, or fleet accounting experience strongly preferred
- Strong understanding of double-entry bookkeeping, debits and credits, journal entries, reconciliations, and financial reporting
- Strong knowledge of QuickBooks Online
- Experience working with a TMS (Transportation Management System) is highly preferred
- Strong Excel skills, including the ability to analyze and organize financial data
- Experience with driver settlements, trucking expenses, load revenue, factoring, fuel cards, and truck-level P&L reporting
- Experience with payroll processing and a working knowledge of payroll tax requirements
- Ability to reconcile multiple accounts and investigate discrepancies independently
- Excellent attention to detail and strong organizational skills
- Ability to manage multiple priorities and consistently meet weekly and monthly accounting deadlines
- Strong written and verbal English communication skills
- Ability to communicate professionally with drivers, dispatchers, brokers, vendors, and management
- High level of integrity and ability to maintain confidential financial information
