Description

Assistant Administrator

This role combines administrative responsibilities with operational coordination. The employee is responsible for managing routine and special administrative functions while ensuring that daily meal services run smoothly at multiple locations, under supervisory guidance.

Examples of Duties

Under general direction, provides administrative and operational support to assigned department or division. Prepares routine communications including memos, correspondence, emails, reports, and other documents. Performs data entry and assists with compiling and organizing information. Maintains and updates office records, files, and documentation. Assists with coordinating projects, assignments, and departmental activities. Schedules meetings and responds to routine inquiries. Utilizes standard office software and systems to complete assigned tasks. Performs related duties as required.

Minimum Qualifications

Associates Degree in Business or Public Administration or closely related field preferred.
Two years of full-time paid experience in government or private industry office administration required, or any equivalent combination of education, training and experience may substitute for each year of college education lacking.
Proficiency in office software (such as Microsoft Office, including Word, Excel and Outlook).
Strong organizational, written and verbal communicatoin skills with attention to detail.

Supplemental Information

Essential Duties and Responsibilities

Applications for the summer and after school.
Entries in Summer and Afterschool Management System (SAMS)-inputting daily numbers including Saturdays.
Communicates with the Children’s Hunger Alliance (CHA) Specialist regarding site needs for shelf-stable meals.
Provides timely notification of closures to ensure meal service adjustments.
Coordinates changes to deliveries and service schedules.
Address and coordinate corrective actions when a site is cited for noncompliance with program procedures.
Submit monthly attendance sheets to CHA in a timely manner, no later than the first working day of the following month.
Serve as the primary point of contact for resolving site-related issues.
Coordinate and distribute required training to staff and ensure timely completion and compliance.
Monitor shelf-stable meal inventory to ensure products are within expiration dates.
Coordinate removal and replacement of expired meals as needed to maintain compliance.
Perform other job-related duties as assigned.

Additional Duties

Provide support on summer projects and seasonal programs as needed.

Knowledge, Skills, and Abilities

Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Knowledge of food safety and sanitation standards.
Ability to maintain accurate records and meet reporting deadlines.
Detail-oriented with the ability to manage competing priorities effectively.
Proficiencyin standard office software and data management system.
